The Family Office Management (FOM) Bill Pay Group is seeking an experienced and motivated Bill Pay Manager to lead its team. The ideal candidate will oversee the day-to-day processing and approval of client bill payments utilizing the BILL platform and the firm’s proprietary Cash Management System (CMS), manage and develop the Bill Pay team, and ensure accuracy and adherence to policies and procedures across the group.

Primary Responsibilities:

  • Lead, coach, and develop the Bill Pay team, including workload distribution, training, and performance management.
  • Manage the team’s day-to-day use of the BILL platform and CMS, ensuring proper setup, workflow configuration, and adherence to internal controls across both systems.
  • Oversee the processing and approval of a high volume of client bills and expenses in accordance with firm policies.
  • Serve as an escalation point for complex client inquiries, discrepancies, and time-sensitive payment matters.
  • Provide superior client service, proactively resolving inquiries and discrepancies at both the team and client-advisor level.
  • Oversee the client enrollment process, including documentation and form processing.
  • Identify and mitigate client and operational issues with a proactive, solutions-oriented approach.
  • Build strong partnerships with Client Advisors and FOM team leaders.
  • Monitor and enforce internal controls across BILL and CMS.
  • Support process improvement initiatives and platform enhancements for the bill payment service, including system upgrades and integrations involving BILL and CMS.
  • Assist with special projects as needed.

Qualifications:

  • Bachelor’s degree required.
  • 8+ years of relevant experience in bill pay or accounts payable including prior supervisory experience.
  • Experience managing teams that utilize BILL or proprietary treasury platforms preferred.
  • Exceptional attention to detail with a sense of urgency and follow-through.
  • Ability to handle confidential information with tact and discretion.
  • Proven ability to lead, coach, and manage a team in a collaborative, fast-paced environment.
  • Proficiency in Microsoft Word and Excel.
  • Strong organizational skills with the ability to manage multiple client accounts and priorities simultaneously.

The base salary range for this position is $140,000 - $185,000 per year. This range reflects the minimum and maximum base salary we reasonably expect to pay for this role. In addition, this position may be eligible to participate in the relevant business unit’s incentive compensation plan, and other compensation programs as applicable. Eligible employees may participate in a 401(k) program with a generous profit-sharing contribution, medical, prescription dental, and vision coverage; life insurance; disability coverage; paid holidays; vacation; and sick time, subject to plan terms and Company policies.
