The Office Coordinator position is a vital part of the Talking Tadpoles administrative team and is the first point of contact for families who partner with TT. This position delivers excellent customer service to patients, their families, referring physicians, and therapists.
The ideal Office Coordinator candidate is highly organized, customer/client-focused, self-motivated, reliable and has a keen attention to detail, excellent time management skills, exceptional interpersonal skills, and is able to adapt to new processes quickly. This role requires, daily, a mix of high-quality personal engagement with families and other team members on the phone, in person, and through email.
The Office Coordinator serves as primary point of contact for patients and families for the practice and reports to the Office Coordinator Lead, unless otherwise directed.
Requirements:
- Ability to use computers, tablets, and electronic health record systems for documentation,scheduling, and communication
- Establish and maintain patient records in hard-copy and electronic formats
- Ability to maintain professional boundaries, ethical conduct, and confidentiality at all times
- Use exceptional written and verbal communication in English with families and clients of Talking Tadpoles via phone, text, email or in person
- Maintain confidentiality and compliance with HIPAA regulations in all interactions.
- Support therapists in maximizing their schedules and accommodating families' changing needs and availability through reschedules.
- Collect payment at time of service
- Serve as liaison for parent/caregiver(s) between all departments (clinical, administrative, billing, etc.) at Talking Tadpoles.
- Maintains attendance policy with families by discussing attendance requirements and following up to offer reschedules.
- Performs Supply Order monthly
- Represent the clinic in the community in a professional manner

Schedule:
Regular hours are 8:30 AM–6:00 PM Monday–Thursday and 8:00 AM–12:00 PM Friday.
Note: Optional overtime is available through extended weekday hours (8:00 AM–6:30 PM) and potential Friday (8:00 AM–6:30 PM) at a different clinic.
Pay:
$16/hour
