But in order to secure new business opportunities, we will need your help with timely and high-quality bid proposals.
As a Bid and Proposal Coordinator, your primary responsibility is overseeing the proposal process from start to finish, coordinating with subject matter experts to gather and articulate key information, editing and rewriting content, and delivering completed proposals against RFP deadlines. You will also be in charge of managing the handoff to the contracting and delivery team, keeping track of bid activities, and helping to improve the effectiveness and quality of sales processes and tools. Your tasks will be:
- Managing strategic proposal process by establishing priorities and target dates for information gathering, writing, review, and approval.
- Reviewing RFP and coordinating with stakeholders (Mito Digital and within Mito Group) to provide questions back to prospects in order to better understand requirements and create a more complete, competitive response.
- Coordinating with subject matter experts across the organization of the business for needed information (aka the right information, at the right time).
- Articulating and presenting updates to stakeholders on the strategic bids he/she is leading, and making recommendations on the way forward when needed.
- Managing handover to contracting and delivery teams after a successful bid acceptance
- Documenting key drivers and objectives of the potential client and ensuring they are addressed in the proposal in conjunction with the global sales team.
- Working with the Mito Communications team for content and design elements when needed. Top-notch digital interfaces are what we do best, after all.
- Editing documents for spelling, grammar, style, and content, and rewording existing content where relevant. AI assist tools can always help you find the right words.
- Delivering completed written proposal responses against RFP deadlines, and ensuring delivery of proposal, whether via email, through a sourcing site, printed/shipped, or by other means (except for maybe pigeon post).
- Tracking bid activities and administrating all proposals in our CRM system, updating their status periodically.
- Analyzing results (Lessons Learnt) and making suggestions to increase the effectiveness and quality of the proposal process. New ideas are always very welcome here.
- Strong attention to detail, with the ability to ensure that all proposals are compliant and meet the client's requirements.
- Strong problem-solving skills, with the ability to identify issues and find effective solutions.
- Strong (2-4 years) project management experience, with the ability to manage multiple threads and several stakeholders simultaneously.
- A solid command of the English language, as well as fluency in Hungarian.
- You must be resilient in the face of rejection and obstacles, and be able to bounce back quickly from setbacks. Don't worry, we will provide a safety net that is both flexible and strong enough to support you.

- Supporting digital product teams (Software Development, UX, UI) or agency environment
- Working with Hungarian public procurement procedures
- Working with/in international companies' procurement departments
