The Opportunity:
Leave of Absence & Claims Administration: Responsible for managing employee leave requests and coordinating with state agencies to ensure timely and accurate processing. This includes handling Unemployment, State Disability, Paid Family Leave, and other EDD verifications, both virtual and paper. The role supports the preparation of appeals, maintains the Leave of Absence log, generates weekly leave reports, and follows up with employees returning from leave to update liaisons as needed. (Performs approximately 40% of the day)
Documentation & Record Management: This function ensures accurate and compliant record keeping of all leave and benefits-related materials. This includes scanning, logging, and uploading verification forms, correspondence, and supporting documentation into employee profiles, as well as maintaining records for both part-time and full-time staff in the HRIS system. The position also assists with the preparation of verification letters and the development of communication materials such as FAQs, slideshows, and general email notices.(Performs approximately 20% of day)
Benefits Administration Support: This function provides assistance with the delivery and maintenance of employee benefits programs. This includes scheduling benefits orientation sessions for eligible employees, supporting the open enrollment process through follow-ups and communications, and performing checks and reconciliations across HRIS and similar platforms. The role also assists in responding to general employee inquiries regarding benefits. (Performs approximately 15% of day)
Communication & Employee Support: Ensures that employees receive timely, accurate, and supportive information regarding leave and benefits. Responsibilities include responding to employee and third party calls, drafting and sending email communications with attachments or reminders, and guiding employees on verification requirements and benefit options. This function works closely with HR team members to maintain consistent messaging and to support a positive employee experience. (Performs approximately 15% of day)
Other Duties as Assigned: Perform additional compliance related tasks as directed by management to support organizational needs. (Performs approximately 10% of day)
Qualifications
Education/Training/Experience/License Required: Minimum of 10 years of experience in EDD leave administration, human resources, or a related field. In-depth knowledge of benefits programs (FMLA, retirement plans, etc.), federal and state leave laws, and employee onboarding procedures. Must be fluent in the English language and able to communicate and convey information effectively. Strong interpersonal and communication skills to work with supervisors, peers, and subordinates. Must be skilled in clerical procedures and systems, including managing files and records, designing forms, and supporting the creation of systems and processes. High level of accuracy in data entry and materials preparation. Proficiency in HRIS systems (Paycom), benefits administration platforms (Ease), Microsoft Office Suite, and Google Workspace. Strong organizational, problem-solving, and time management skills. Ability to maintain confidentiality, exercise discretion, and demonstrate trustworthiness, flexibility, and a strong work ethic.
