What does an Association Onboarding Specialist do? 

  • Serve as the primary point of contact for new employees, volunteers, and eligible rehires, guiding them through applicable onboarding requirements from post-offer through clearance to begin duties onsite
  • Communicate with hiring managers regarding status, outstanding items, timelines, and clearance
  • Actively manage and track completion of onboarding requirements, including background checks, trainings, certifications, and required documentation, by regularly reviewing onboarding checklists and pre-hire statuses
  • Add new hires and maintain accurate onboarding records in HRIS and onboarding systems, ensuring timely updates and completion of all checklist items 
  • Collaborate with internal teams to ensure onboarding aligns with program and compliance requirements 
  • Identify and implement opportunities to improve the onboarding experience, including streamlining processes, increasing use of HRIS automation, maintaining onboarding resources, and standardizing communications and resources for new hires, volunteers, and hiring managers
  • Develop, maintain, and periodically review standard operating procedures (SOPs) for onboarding processes to promote consistency, efficiency, compliance, and clear accountability across the Association
  • Prepare and review monthly onboarding reports for the Human Resources Director, including hiring volume, onboarding completion times, outstanding requirements, delayed onboarding items, and identified trends or opportunities for process improvement
  • Assist Talent Acquisition and Outreach Specialist with recruiting efforts during peak hiring periods, including job fairs, hiring events, outreach activities, and candidate communications

Qualifications
  • Must be at least 18 years old
  • Associate’s Degree preferred; related work experience may offset degree requirement   
  • Previous work-related experience preferred
  • Knowledge of CA Labor and Employment Laws 
  • Complete required certifications within 60 days of hire
  • Complete all required Branch and Position specific trainings as required within two weeks of hire
  • Ability to obtain a Criminal Record Clearance
  • Maintain a valid California driver’s license, active participation in the California DMV Pull Program, an acceptable driving record and approval status as determined by the Channel Islands YMCA and/or its insurance carrier

Skills Required
