Position Overview

Health Union is seeking a full-time Associate Project Manager to join our Program Management & Operations (PMO) team, the group that runs the cross-functional work behind Health Union's strategic projects, product implementations, and AI transformation initiatives.

This job is about driving projects to completion and creating effective, efficient, and sustainable processes across the organization. It is also where AI becomes part of how the PMO team operates day-to-day, by finding the repetitive, manual effort in our projects and replacing it with AI-assisted workflows. 

Project Managers at Health Union work in tandem with the rest of the PMO team and partner closely with teams across the company. You will be accountable for the day-to-day delivery of your assigned work: running the meetings, tracking the deliverables, managing communication between teams, and keeping stakeholders informed. Success in this role requires someone highly self-motivated, proactive, comfortable with ambiguity, and excellent in a collaborative environment.

What You'll DoProject Management
  • Own end-to-end delivery on assigned projects, including but not limited to product implementations: scope, plan, timeline, communication, and closeout
  • Translate business needs and signed client commitments into clear, executable plans, so that every team involved knows what they own and by when
  • Coordinate across the functions that deliver the work (sales, product, media, editorial, and analytics) and serve as a reliable point of contact at every level of the organization, including client-facing partners where applicable
  • Flag early when scope or timeline is at risk, and escalate with a recommendation
  • Run project meetings with clear agendas, documented decisions, named owners, due dates, and timely recaps
  • Provide clear, consistent, appropriately concise status updates to stakeholders and leadership
  • Keep quality and speed to market steady through high volume periods, particularly the Q4/Q1 launch peak
  • Facilitate After Action Reviews, communicate the learnings to those who benefit, and revise processes, templates, and best practices accordingly
AI Tooling & Automation
  • Surface the manual, repetitive steps you hit in your own work and cross-functional projects you support, and bring them forward as candidates for automation
  • Build and iterate on prompts, AI workflows, and automations using the tools in our stack, with training, mentorship, and room to learn
  • Support adoption by writing how-to guidance, running walkthroughs, and helping teammates get comfortable with new tools
  • Maintain the PMO's record of AI use cases, including status and measured time savings
  • Contribute to Health Union's broader AI enablement and governance work as the company scales its AI capability
Operational Support
  • Document, maintain, and help design the processes, SOPs, templates, and operating standards behind repeatable work across various business functions
  • Help resolve and become a go-to resource for cross-functional support and issue resolution: frame the problem, gather the right people, and facilitate solutioning
  • Support rollouts of new processes and tools through training, communication, and planning
  • Pilot, measure, and document what works, and recommend optimization opportunities and retiring ineffective workflows
QualificationsWhat You Bring
  • 1–3 years of professional experience managing projects or programs
  • Bachelor's degree, with a preferred concentration in Business Administration, Management, Operations Management, or Project Management — or equivalent professional experience
  • Fluent use of AI tools in your work or personal life, paired with real curiosity about building with them
  • A systems mindset — you notice patterns, spot the repeated step, and instinctively ask whether it should be done this way at all
  • Enjoy critical thinking and working through challenging problems 
  • Strong organizational and interpersonal skills, and advanced verbal and written communication
  • Proven focus on detail and a strong commitment to service delivery
  • Ability to work independently and as part of a team, comfortable asking for direction and then running with it
  • Proficiency with project management tools; experience with Asana is strongly preferred
  • Comfort with ambiguity and shifting priorities, and an instinct to raise priority conflicts early
Nice to Have
  • Familiarity with digital media operations or ad operations
  • Hands-on experience building automations or workflows in tools such as Asana Rules or Claude Cowork/Code
  • A track record of process design and documentation

Annual base salary for positions at this level and job group is $50,000 - $69,000, and your base pay will depend on the qualifications, experience, skills, and competencies required for this job.

At Health Union, base pay is one part of our total compensation package and is determined within a range that provides the opportunity to progress as you grow and develop within a role.
