Position Summary

The Associate Director, Program Operations sits at the intersection of program delivery and organizational operations — ensuring that school-based therapy staff and site teams have the administrative, logistical, and coordination support they need to do their best work. This role partners closely with program leadership and internal functions including HR, finance, and administration to keep programs running smoothly and staff well-supported.

Key Responsibilities

Day-to-Day Program Support

  • Oversee the operational needs of the school-based therapy program, ensuring staff and site teams are supported and program activities run efficiently.
  • Serve as a primary point of contact for program staff on operational questions, needs, and problem-solving.
  • Develop and maintain program tools, trackers, and documentation to support consistent, organized program delivery.

Staff & HR Coordination

  • Support onboarding and offboarding processes for program staff in coordination with the operations team.
  • Serve as a liaison between program staff and HR, facilitating timely resolution of people-related needs and questions.
  • Help maintain accurate staff records and support compliance with organizational HR policies.

Budget & Administrative Support

  • Assist program leadership in tracking budgets, monitoring expenditures, and flagging variances.
  • Coordinate program-related purchasing, expense reporting, and vendor communications in accordance with organizational policies.
  • Support preparation of operational reports, data summaries, and documentation for internal and external audiences.

Cross-Team Collaboration

  • Serve as a connector between the program team and internal operations functions, ensuring smooth communication and coordination.
  • Participate in program and operations meetings to stay current on organizational priorities and surface relevant needs.
  • Support organization-wide initiatives that intersect with program operations.
QualificationsQualifications
  • At least 3–5 years of experience in program coordination, operations support, or a comparable role.
  • Strong organizational and coordination skills with the ability to manage multiple priorities simultaneously.
  • Clear, effective communicator — both written and verbal — with strong attention to detail.
  • Proactive and solutions-oriented, with a track record of keeping complex work moving.
  • Ability to build trusting relationships across program and operational teams.
  • Familiarity with HR processes, budget tracking, and standard organizational systems.
  • Proficient in G Suite, Zoom, and general productivity tools; comfortable learning new platforms.
  • B.A./B.S. in Business, Public Administration, Psychology, Social Work, Education, or a related field preferred.
  • Experience in a nonprofit, educational, or mental health setting strongly preferred.
