Job Description Summary:

The mission of the Boehly Center for Excellence in Finance at the Raymond A. Mason School of Business is to promote the study and practice of finance among students at the Mason School and across the undergraduate student body at William & Mary. The Center offers a wide variety of curricular and co-curricular programs designed to advance student understanding of the principles and practice of finance and better prepare them for successful careers in finance and finance-related fields. The Center seeks candidates for the Associate Director for Events and Operations position.

Reporting to the Faculty Executive Director, the Associate Director for Events and Operations (Assoc Dir for Events) supports the Center’s mission by leading event and operational planning and management; budgeting and procurement; and expenditure and outcome monitoring and tracking. The Assoc Dir for Events is responsible for planning, coordinating, and executing Center events and operational functions and ensuring the highest-quality customer service in compliance with institutional policies and effective use of approved resources.
Primary areas of responsibility include:
• Planning and execution of Center events, club activities, conferences, and programs.
• Developing and maintaining channels of communication with students, faculty, alumni, such as the Center website/app, newsletters LinkedIn, email, and other mechanisms for building awareness and disseminating critical information.
• Developing the annual budget.
• Operational support for Center programs and student organizations.
• Event-related procurement, logistics, and vendor coordination.
• Tracking all expenditures to ensure alignment with approved budgets.
• Tracking all event and program impacts and outcomes.
• Collaboration within the Mason School and across William & Mary on events and operations, including with students, faculty, internal vendors, and other administrative offices.
• Relations with external vendors.
• Progress towards goals in all these areas.
This role partners closely with the Associate Director for Academic Engagement and Student Development:
• As directed by the Faculty Executive Director on a case-by-case basis, the Assoc Dir for Events will on occasion assist the Associate Director for Academic Engagement and Student Development with activities such as program development, club and program oversight, and experiential courses.

In addition, the Assoc Dir for Events executes the Center’s strategic vision set by the Faculty Executive Director, including adjusting the mix and emphasis of these activities to meet that vision.

Required Qualifications:

  • Bachelor’s degree in business, higher education, or related field, or an equivalent combination of education and experience.

  • Experience in event management or a related field (typically 3 to 5 years).

  • Excellent oral, written, and interpersonal communication skills to work effectively with diverse constituencies including students, faculty, staff, alumni, and business professionals.

  • Ability to work independently as well as collaboratively.

  • Experience with budgeting, expenses, and procurement systems.

  • Technical skills and proficiency in Microsoft Office, graphic design software, and database systems.

  • Capable of managing multiple priorities and complex logistical situations.

  • Innovative problem-solving skills.

  • Ability to maintain confidential or sensitive data.

  • Master’s Degree in a relevant field.

  • Background in corporate or alumni relations.

  • Experience supporting student organizations and programs.

  • A thorough knowledge of William & Mary budgeting, procurement, and other management processes and procedures and an ability to interpret and apply institutional rules and regulations.

  • The ability to work with various management, academic, and student areas within William & Mary.

  • Ability to apply the highest level of customer service and support to alumni and corporate partners.

  • Experience working with and presenting to boards and councils.

  • Experience with enterprise student information systems, document sharing software, learning management systems, and procurement systems.

Conditions of Employment: 

This position may require additional hours beyond the typical work week, to include occasional overnight and weekend work as needed to meet the business needs of the operation and is not eligible for overtime. Some travel is required.

This position is student-facing and therefore only eligible for remote work during times of the year that academic demands are at the lowest. Remote work scheduling will be determined by the administration of the Mason School of Business.

Salary Range: Up to $63,000, commensurate with experience.

Additional Job Description:

Position Duties: 

60%- Events and Operations Management:

  • Lead the planning and execution of all large-scale Center events, conferences, and signature programs.

  • Manage event logistics, including space reservations, catering, A/V, parking, travel coordination, and on-site execution.

  • Serve as the primary liaison with event vendors and service providers.

  • Provide operational and procurement support to Center clubs and programs, including food, supplies, and space coordination.

  • Coordinate purchasing, reimbursements, and payments in accordance with university policies.

  • Maintain accurate records of Center expenses and monitor all expenditures to ensure alignment with approved budgets.

  • Maintain systems for tracking and managing student career activities (in collaboration with Advancement, the Cohen Career Center, and other offices), event logistics, and event and program outcomes and effectiveness.

  • Use tracking and reporting systems to provide regular updates on events, programs, vendors, and expenses.

  • Advise on the Center’s data, software, and required reporting.

  • Ensure the Center’s shared calendar and event-related website content are accurate and up to date.

15%- Student Clubs & Programs: 

  • Lead the club and program officer application and identification process.

  • Ensure that all administrative requirements for clubs, programs, and officers are complete, up to date, and are being adhered to by club officers and members.

  • Advise club and program officers, consult with appointed advisors, and attend program and club events as needed.

  • Work with the Boehly student chief of staff to oversee the President’s Circle.

  • Provide functional supervision and scheduling of students who are supporting events and operational activities.

  • Ensure that officers and student workers are trained and supported for successful event execution.

 

15%- Marketing and Communications:

  • Assist the Assoc Dir for Academic Engagement on marketing and communications.

  • Assist with creation and distribution of event-related marketing materials.

  • Coordinate event communications with attendees, vendors, and partners.

  • Support timely updates to the Center’s newsletters and social media related to events.

 

10%- Strategic Mission and Relationship Management: 

  • Work with the Faculty Executive Director to assure that events and operations support the Center’s mission and to develop new initiatives consistent with that mission.

  • Foster with and maintain working relationships with Mason School and other W&M offices, programs, and internal vendors.

  • Maintain productive relationships with faculty, students, vendors, alumni, corporate partners, employers, and industry professionals.

  • Create, update, track, and analyze event and program outcome and effectiveness data to inform continuous improvement and strategic planning.
