Who Are We Looking For?
We are seeking an enthusiastic and highly organized professional to join our Investment Operations team as an Operations Associate. This person will be responsible for coordinating the setup of investment products and programs with our partner custodians, advisors, fund/insurance companies, and investment managers. They will be responsible for managing internal and external communications around investments with various stakeholders including clients, vendors, and partners.
While primarily operational in nature, our team sits at a unique intersection of clients, operations, and strategy, and the role reflects this multifaceted nature. The job requires keen attention to detail and ability to track multiple projects and communicate with 3rd parties across multiple platforms.
What Will You Be Doing?
In this position you’ll be responsible for a number of items, as it pertains to the investment management operational oversight and implementation. The job responsibilities will include but are not limited to:
- Partnering with our plan sales and implementations teams to vet and implement the investment options for plans being brought onto the Vestwell platform; this includes both cost and asset class coverage analysis
- Coordinating with our custody partners to ensure a seamless new plan onboarding process
- Liaising with Fund and Insurance companies to ensure appropriate processes are in place for making funds available within plans
- Working with 3rd party investment managers and advisors to define onboarding and ongoing requirements
- Ensuring investment options are in sync with the respective programs
- Ensuring investment performance and fact sheets are updated regularly
- Participate in key quality assurance processes
Requirements
The Necessities
- 1+ year of experience in a Financial Services, or related industry
- The ability to understand the “big picture” and the importance of the team’s role in the overall process
- Excellent communication skills across internal stakeholders and external partner groups
- Passion for learning and applying new concepts, and bridging information where continued process-development is key
- The ability to self-manage around tight deadlines in a fast-paced environment while ensuring the integrity and accuracy of the details
- Strong technical proficiency using Excel and process management tools
The Extras
- Intermediate SQL skills
- Previous experience within financial services, with a focus on investment operations and fund implementation
This role will be based in our King of Prussia office, and will be part of Vestwell's hybrid in-office operation.
The expected base salary range for this position is $60K - $75K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.

Skills Required
- Undergraduate or graduate degree in Finance or Accounting with strong academic performance
- Strong aptitude for numbers and understanding of cash and traditional securities reconciliation
- Affinity for learning, creating, and iterating rapidly
- Proactive and analytical, able to problem-solve and propose solutions
- High degree of organization and dependability
- Ability to prioritize tasks and manage client expectations
- Ability to use Excel at a high level
- Experience with Google Workspace, Slack, Salesforce, Zendesk, and Jira
- Understanding of how mutual funds, stable value funds, and ETFs trade and settle
- General knowledge of ERISA rules and experience with compliance/record-keeping systems (e.g., SunGard Relius, ASC, FIS)
- Qualified 401(k) Administrator (QKA) or higher ASPPA credentials
- Relevant record-keeper experience
