Buscamos un/a Associate Administrative Assistant que, en determinadas ocasiones, también dará soporte en recepción y atención al público. Se trata de un puesto dinámico y variado, ideal para una persona muy organizada, proactiva y orientada al servicio, que disfrute trabajando en un entorno colaborativo.
Responsabilidades principales
En sustitución de la persona de recepción cuando sea necesario:
Recepción y atención al público
  • Recibir y atender a los visitantes de manera profesional y amable
  • Gestionar llamadas telefónicas entrantes y canalizar las consultas adecuadamente
  • Dar soporte general de atención al cliente y resolución de incidencias básicas
  • Garantizar una primera impresión positiva de la empresa en recepción

Soporte administrativo
  • Gestionar correos electrónicos y comunicaciones generales de oficina
  • Organizar reuniones, agendas, reservas de salas y citas
  • Gestionar el material de oficina, control de stock y realización de pedidos
  • Apoyar en la gestión de correo postal, mensajería y distribución de documentos
  • Colaborar en tareas básicas de facturación, pedidos y albaranes cuando sea necesario

Trabajo del día a día:
Datos y documentación
  • Archivar y organizar documentación física y digital
  • Introducir y actualizar datos en sistemas internos, hojas de cálculo y bases de datos
  • Preparar informes básicos, hojas de cálculo y documentación de soporte
  • Dar soporte en la gestión de solicitudes internas y procesos administrativos

Tareas administrativas adicionales (deseable exposición)
  • Apoyo en la descarga y gestión de notificaciones de portales de la Administración Pública
  • Colaboración en la tramitación de certificados y registros básicos (p. ej., certificados de empresa, códigos LEI, cambios de nombre) ante organismos correspondientes
  • Soporte en gestiones con HMRC y otros organismos reguladores cuando sea necesario
  • Apoyo en trámites administrativos locales

Requisitos y competencias
  • Experiencia previa en atención al cliente, recepción o puestos similares de cara al público
  • Excelentes habilidades de comunicación verbal y escrita
  • Actitud positiva, orientada al servicio y al trabajo en equipo
  • Alta capacidad de organización y gestión de múltiples tareas
  • Gran atención al detalle
  • Persona proactiva, autónoma y con iniciativa
  • Capacidad para gestionar incidencias y resolver problemas básicos con calma y eficacia

Idiomas
  • Inglés fluido (nivel mínimo B2), con capacidad para atender recepción y recibir visitas con soltura en inglés y español

Experiencia deseable
  • Experiencia en tareas administrativas y suporte en entorno corporativo
  • Experiencia en organización de agendas, coordinación de oficina o soporte de instalaciones
  • Conocimientos básicos de facturación, pedidos o tareas financieras sencillas
  • Experiencia en entornos corporativos o regulados será un plus
