Position Summary
STV is seeking an Assistant Project Manager to lead and ensure the quality of work performed by the Project Accounting Support team. This role is responsible for implementing and maintaining the processes and procedures that govern project financial administration, and for providing day-to-day supervision of team members who execute those processes. The ideal candidate combines strong project accounting expertise with proven people-management skills and a continuous improvement mindset.
Essential Duties and Responsibilities
- Set up and maintain new and existing projects within the ERP system
- Prepare and submit client invoices
- Process time transfers
- Assemble timesheet and expense backup required for invoicing
- Manage accounts receivable at the project level
- Investigate and resolve accounts payable discrepancies
- Assist with AFP and audit package preparation
- Process subcontractor invoices
- Support contract and subcontract development
- Coordinate with Accounting, Legal, Billing, and other divisions to accomplish team responsibilities
- Partner with Project Managers to provide financial reporting, analysis, and support
- Maintain project insurance documentation and compliance
- Prepare monthly financial reports
- Maintain and update project information within the ERP system
- Perform other duties and special requests as assigned
Supervisory Responsibilities
- Manage performance of direct reports, including identifying training needs, approving timesheets, conducting annual performance reviews, and providing career development guidance
- Hold regular meetings with direct report staff to ensure consistency and adherence to established procedures
- Monitor team output to ensure data is entered accurately, and address quality concerns directly and promptly
- Develop and maintain tracking tools to monitor request volumes and team activity across functions
- Oversee posting of time transfers and review of vendor/subcontractor invoice void requests
- Drive process improvement initiatives to increase team efficiency
Qualifications
- Associate's degree required
- Minimum of 10 years of relevant project accounting or financial administration experience
- Prior supervisory or team leadership experience required
- Demonstrated ability to proactively identify and resolve problems
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Experience in the Architecture/Engineering/Construction (A/E/C) industry strongly preferred
- Proficiency with ERP systems (Deltek Vision or similar preferred)
Compensation Range:
