The Assistant Principal serves as a key member of the school leadership team, responsible for the efficient and effective management of all non-instructional school functions. This role ensures a safe, well-resourced, and compliant school environment that supports student success and enables instructional staff to focus on teaching and learning. The Assistant Principal leads and develops the school operations team - including meal servers, custodial and facilities, office, and support staff- and oversees a board portfolio including finance, facilities, nutrition, student health and safety, payroll, vendor relations, data systems, and school-wide event coordination. As a key instructional partner to the Principal, supporting teacher growth and ensuring students are progressing toward academic goals through classroom observation, coaching, and data-informed practice.
Key Responsibilities:
Instruction & Teacher Development (~20% of role):
- The Assistant Principal serves as an instructional partner to the Principal, providing targeted support to teachers to strengthen instructional practice and drive student academic growth in reading and math
School Leadership & Team Management:
- Serve as a member of the school leadership team, contributing to school-wide strategic planning, goal-setting, and continuous improvement efforts
- Directly supervise and evaluate operations staff, including nutrition services, custodial, administrative, and support personnel
- Build a positive, high-performing operations team culture through coaching, professional development, and performance management
- Lead non-instructional functions of a school, including front office school operations and serve as the content expert for school operations responsible for successfully executing systems, processes, and policies in non-instructional areas, and ensuring state and federal compliance requirements are completed on time
- Collaborate with school leadership and instructional staff to ensure operational systems align with and support the school's educational mission
- Lead regular operations team meetings and maintain clear communication protocols across departments
- Collaborate with the broader CWC school operations staff and learning community, including other school operations leaders across the region, to drive operational best practices across the region
- Additional duties as assigned by the principal to ensure an efficient, safe, and compliant school
Classroom Observation & Instructional Coaching:
- Conduct regular formal and informal classroom observations aligned to the school's instructional framework, with a focus on student engagement, rigor, and evidence-based teaching practices
- Deliver timely, specific, and actionable feedback to teachers following observations that is grounded in student outcomes and aligned to individual growth goals
- Facilitate one-on-one coaching conversations with teachers to build capacity in areas of identified instructional need, prioritizing early-career teachers and those requiring additional support
- Partner with the Principal to maintain a consistent observation and feedback cycle that ensures every teacher receives meaningful instructional support throughout the school year
- Model a growth mindset culture where feedback is welcomed, reflection is routine, and continuous improvement is the standard
Collaboration & Instructional Culture:
- Partner with the Principal to foster a school culture where high expectations, student-centered instruction, and academic excellence are non-negotiable norms
- Support the coordination of professional development sessions related to instructional practice when directed by the Principal
- Serve as a visible, approachable instructional presence for teachers — bridging the day-to-day operational work of the school with the academic mission at its core
- Own the planning, coordination, and execution of all school-wide assessments, including state-mandated testing, interim assessments, and diagnostic evaluations, ensuring tests are administered with fidelity, on schedule, and in compliance with all applicable guidelines
- Attend Individualized Education Program (IEP) meetings as a school leadership representative, ensuring the school's commitments to students with disabilities are operationally and instructionally supported
Operations (~80% of role)
Finance and Purchasing:
- Manage and monitor the school's operational budget, ensuring expenditures align with approved allocations and organizational financial policies
- Oversee purchasing processes including purchase orders, requisitions, approvals, inventorying, and reconciliation of accounts
- Maintain accurate financial records and prepare reports for school leadership as needed
- Coordinate with the Director of Operations and/or Head of Finance on budget development, audits, and grant compliance
- Negotiate contracts and monitor spending with vendors and service providers to ensure cost-effectiveness
- Ensure proper stewardship of school funds, including activity accounts, and fundraising proceeds
- Manage cash receipts, deposits, and staff reimbursement forms
- Coordinate with the RSO and ExED to ensure effective implementation of financial policies
School Nutrition Program:
- Oversee the daily operation of the school nutrition program, ensuring compliance with federal, state, and local nutrition standards and regulations (e.g., USDA NSLP/SBP requirements)
- Supervise nutrition services staff and coordinate meal planning, procurement, preparation, and service
- Manage the free and reduced-price meal application process and maintain accurate eligibility records in compliance with privacy requirements
- Monitor meal participation data, conduct point-of-sale oversight, and ensure accurate reporting to funding agencies
- Support nutrition program audits and maintain required documentation
- Communicate with families and staff regarding nutrition program services, menus, and policy changes
Facilities Management:
- Oversee the maintenance, cleanliness, and safety of all school facilities, grounds, and equipment
- Oversee corrective maintenance requests in a timely manner and ensure there’s a preventive maintenance schedule in place
- Supervise custodial and maintenance staff, including scheduling and performance evaluation
- Manage capital improvement projects, renovations, and construction activities in coordination with the regional facilities team
- Ensure the school building meets all fire, health, safety, and accessibility codes and passes required inspections
- Manage facilities-related contracts including janitorial services, HVAC, pest control, landscaping, and security systems in coordination with the regional facilities team
- Coordinate facility scheduling for regular school use as well as community and after-hours events
Student Health and Safety:
- Develop, implement, and maintain school safety plans, emergency response protocols, and crisis management procedures in coordination with local agencies
- Oversee school health processes, including management of medication administration procedures and compliance with health-related policies
- Ensure the school maintains required health, safety, and emergency certifications and that staff complete mandated safety training
- Coordinate required safety drills (fire, lockdown, evacuation) and maintain documentation of all drill activities
- Monitor and ensure compliance with all applicable health codes, ADA requirements, and state/local safety regulations
- Manage the reporting and follow-up of student and staff accidents, incidents, and workers' compensation claims
- Serve as the primary point of contact for school safety compliance inspections and liaisons with public health and emergency management agencies
- Partner with the RSO and School Leadership Team to respond to emergencies
Student Information System:
- Oversee the maintenance of data systems and platforms to ensure that student records are accurate, up-to-date, and secure
- Oversee daily attendance monitoring, early intervention communication processes, and compliance with compulsory attendance laws
- Ensure timely and accurate submission of attendance, and demographic data to district, state, and federal reporting entities
- Lead and oversee the student registration process for incoming and newly enrolling students, coordinating across families, front office staff, and instructional teams to ensure a timely, accurate, and welcoming onboarding experience
- Ensure staff are trained on the SIS and related data platforms
- Oversee student records requests, including transfers, transcripts, and responses to subpoenas, in compliance with FERPA and applicable regulations
- Collaborate with instructional leadership to generate data reports that support school accountability and improvement planning
- Maintain the integrity and security of student and staff data, ensuring appropriate access controls are in place
- Collaborates with school staff to update and/or confirm data required for local and state reporting
Vendor Management:
- Identify, vet, and manage relationships with school vendors, contractors, and service providers
- Negotiate, execute, and monitor vendor contracts to ensure service quality, compliance, and value
- Maintain a vendor database including contracts, certificates of insurance, and compliance documentation
- Resolve vendor performance issues and escalate unresolved matters to appropriate leadership
- Ensure all vendors with student access meet required background check and compliance standards
- Oversee vendor onboarding, compliance documentation, and contract management processes
HR Functions:
- Manage and lead bi-weekly payroll processing for hourly and salaried employees twice a month. This includes reviewing and correcting all timesheets, approving unresolved time off, adjusting employee changes, flagging concerns to the leadership team about OT and Meal penalties, and providing timely submission of timesheets to the HR designee
- Point person for Worker's Compensation claims. This includes reporting claims, providing employees with information needed for care, compliance documentation, notifying HR of the injury, and assisting CharterSafe with questions on the injury
- Point person for all new hires. This includes greeting and assisting new hires with school tours, protocols, and procedures
- Liaison in troubleshooting for employees on all school-based platforms such as Paycom, ParentSquare, and Aeries.
- Coordinate a coverage process when requesting substitute teachers
Event Planning & Coordination:
- Partner with school leadership to plan and coordinate school-wide events including back-to-school nights, graduation, family engagement events, professional development days, and community activities
- Provide logistical support for school events and activities, including securing event venues, transportation, audio-visual/equipment/supplies needs, staffing, vendor coordination, and overseeing setup and cleanup
- Develop and manage event budgets and ensure all events are executed within allocated resources
- Ensure appropriate permits, insurance, and safety plans are in place for all school events
- Solicit and incorporate feedback to continuously improve the quality and impact of school events
- Oversee the school field trip processes, including coordinating with bus companies for regular and overnight field trip transportation
- Bachelor’s degree or equivalent experience required
- Valid California teaching credential required (Multiple Subject preferred) or valid California Administrative Services Credential preferred
- Minimum of 2 years of relevant work experience
- Experience in managing payroll utilizing the current payroll platform and troubleshooting as needed
- Managerial experience required
- Prior experience within a school setting and/or working with students is preferred
- Ability to build relationships with school administration, school operation teams, and other key stakeholders with a focus on collaboration

Physical Requirements and Typical Work Conditions are examples of the physical aspects that this classification performs in carrying out the essential job functions:
- This position operates primarily in a school environment. The role requires frequent movement throughout the building and grounds, occasional lifting of up to 30 pounds, and the ability to respond to facilities or safety emergencies outside of regular school hours. Regular evening availability may be required for school events. The position is 12 months and is not subject to the academic calendar
- Must be able to communicate verbally and in writing effectively to exchange information, do presentations, etc.
- Approximately 50% of the time is spent sitting, frequently required to walk, stand, and bend
