The Assistant Manager supports the Operations Manager in the daily operation of warehouse and delivery functions, with primary responsibility for inventory accuracy, receiving, delivery preparation, dispatch support, and day-to-day operational coordination.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Accurately complete data entry transactions in the accounting system to maintain and update
  • Conduct daily inventory counts of warehouse products and materials and maintain accurate inventory records.
  • Research inventory discrepancies, identify missing or incorrectly located product, and communicate findings to the Operations Manager.
  • Assist with maintaining accurate inventory locations and processing necessary inventory adjustments.
  • Identify and document damaged, missing, or incorrectly received product.
  • Support the safe and efficient unloading of inbound trucks.
  • Verify incoming product quantities and condition and identify shortages, overages, or damage.
  • Ensure received products are properly staged and placed in the appropriate warehouse locations.
  • Coordinate with warehouse personnel to support timely and efficient inbound receiving.
  • Assist with the documentation, investigation, and processing of product damage claims.
  • Gather photographs, product information, delivery documentation, and other records required to support damage claims.
  • Track open damage claims and assist with follow-up through resolution.
  • Communicate recurring damage trends or operational concerns to the Operations Manager.
  • Support warehouse and delivery personnel with loading delivery trucks each morning.
  • Verify products are loaded onto the correct truck and correspond with scheduled deliveries.
  • Assist with resolving shortages, missing product, damage, or loading discrepancies before trucks leave the facility.
  • Help ensure delivery teams are accurately loaded and dispatched on schedule.
  • Assist with dispatching delivery trucks and monitoring delivery activity throughout the day.
  • Communicate with delivery teams regarding routing, scheduling, customer concerns, and changes to daily delivery plans.
  • Coordinate with warehouse and management personnel when replacement products, additional materials, or other operational support is required.
  • Escalate significant delivery delays, accidents, customer concerns, product damage, or other operational issues to the Operations Manager.
  • Maintain clear communication between warehouse personnel, delivery teams, and management throughout the workday.
  • Provide day-to-day direction and operational support to warehouse and delivery personnel as assigned by the Operations Manager.
  • Reinforce company procedures, performance expectations, and safety requirements.
  • Assist with identifying opportunities to improve inventory accuracy, loading efficiency, dispatch operations, and warehouse organization.
  • Help maintain a clean, organized, safe, and productive warehouse environment.
  • Serve as an operational point of contact when the Operations Manager is unavailable or assisting with other priorities.
  • Perform other duties as assigned based on operational and business needs.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Previous experience in warehouse operations, logistics, distribution, delivery operations, or a related environment preferred.
  • Previous lead, supervisory, or operational leadership experience preferred.
  • Strong organizational and time-management skills.
  • Strong attention to detail, particularly related to inventory accuracy and documentation.
  • Ability to prioritize multiple responsibilities in a fast-paced operational environment.
  • Strong verbal and written communication skills.
  • Ability to effectively communicate with warehouse personnel, delivery teams, management, and customers as needed.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently while functioning effectively as part of a team.
  • Basic computer and inventory-management system proficiency.
  • Ability to take initiative and respond appropriately to operational issues as they arise.
Physical Demands and Work Environment
  • Regularly required to stand, walk, bend, reach, and move throughout the warehouse and office environment.
  • Regularly required to work on the warehouse floor and assist with inventory, receiving, loading, and delivery operations.
  • Work is performed in both warehouse and office environments and may involve exposure to noise, moving vehicles, warehouse equipment, and varying temperatures.
  • Ability to lift, carry, push, or pull materials consistent with the operational requirements of the position.
  • Must be able to safely work around warehouse equipment, delivery vehicles, and other operational activity.
