Title: Assistant Athletic Director for External Relations  
Description:  The Assistant AD for External Relations will perform a variety of necessary duties that support the promotion of our student-athletes, the athletic department, and Hartwick College.  The successful candidate will be responsible for the overall operation of the Athletic Communications office, including the internal and external department communications and ensuring compliance with all NCAA and conference policies and procedures related to sports information and statistical reporting.  In addition, this position will assist with fundraising, corporate sponsorships, community relations and other external facets of the department. This position supervises a full-time staff member.
Responsibilities:
  • Manage and ensure all requirements of the Athletic Communications department are complete and in compliance with NCAA, conference, college, and other external organization requirements. This includes ensuring that all written and prepared releases, game programs, feature stories, game recaps pertaining to Hartwick Athletics for dispersal to media outlets are performed for all varsity programs.
  • Ensure the athletic website (rosters, schedules, stats, releases, game recaps) and all social media outlets are current, promoting, and supportive of Hartwick athletics.
  • Manage all statistical reporting for NCAA and conference requirements, ensuring deadlines and compliance requirements are met.
  • Seek opportunities, collaborations, and ideas to promote the Hartwick athletic brand including the development and submission of nominations for department, conference and NCAA awards.
  • Maintain athletic files, historical data files and records.
  • Work in concert with the Director of Athletics on fundraising initiatives, outreach and stewardship and major athletic events.
  • Manage the nomination process and record keeping for the Athletic Hall of Fame.  Serve as the Chair of the HOF committee.
  • Write, review and approve game contracts for all sports between Hartwick and its opponents
  • Perform other duties as assigned by the Director of Athletics.
  • As a representative of the College, comport oneself in a professional manner at all times, both on and off campus.
  • Comply with all Federal, State, local, NCAA, Empire 8 Conference, College Department, regulations, rules, policies and procedures.
  • Hire, supervise, and evaluate assigned staff.
  • Serve and/or lead department, College, conference committees when needed.
  • Be a positive member of the department by supporting other programs and find ways to be involved for the betterment of the department and College (i.e. attend Code Blue events, attend events outside athletics, serve on committees, involvement through national organizations).
  • Participate in significant campus activities including Welcome Weekend, True Blue Weekend, and Commencement Weekend
Qualifications: Minimum requirements for this position are a Bachelor’s degree (Master’s preferred) from an accredited college or university in a related/relevant field (communications, sports management, public relations, etc.), with at least three years of experience in a collegiate sports information setting.
  • Ability to work an irregular day schedule, nights, weekends, and holidays as necessary
  • Proficiency in Microsoft Office, Google applications, Adobe Creative Suite, STATCREW software, website management tools (SIDEARM preferred)
  • Ability to multi-task, manage deadlines, and work independently
  • Excellent communication skills (verbal and written)
  • Supervisory experience
  • Must have a valid driver’s license and be insurable by the College.
Salary Range: $63,000 - $65,000
