The Simulation Clinic Coordinator manages the daily operations of the dental school’s preclinical simulation laboratory to support high-quality predoctoral and postgraduate education. This position ensures simulation readiness, equipment functionality, materials availability, and a safe learning environment. The Coordinator works closely with course directors, faculty, digital dentistry teams, and students to maintain efficient lab workflows, support simulation technologies, and uphold compliance with institutional and safety standards. This role is critical to student skill development prior to entry into the patient care environment.

Duties & Responsibilities: 

  • Coordinate daily simulation laboratory operations to ensure all preclinical modules, practical's, and open lab sessions are properly prepared, supplied, and instruction-ready. 
  • Manage simulation inventory and procurement processes, including preparation of purchase orders, accurate receiving and reconciliation of items, routine spot checks, and maintenance of precise inventory counts and bi-annual inventory reporting. 
  • Order, stage, and distribute course-specific supplies and materials in collaboration with lead simulation faculty to support each preclinical module, competency, and board examination activity.
  • Maintain functionality, proper use, and cleanliness of all simulation units and equipment, performing routine checks and coordinating maintenance or repairs as needed.
  • Support administration of practical and computerized assessments, including formatting exams in ExamSoft, proctoring exams, troubleshooting technical or behavioral issues, and ensuring secure testing environments. 
  • Monitor and reconcile student assessment data, including reviewing practical exam calculations for accuracy, maintaining module-specific grade tracking, and submitting final course grades to the curriculum office for official posting.
  • Maintain organized storage and distribution systems for dental materials, instruments, and simulation equipment to ensure efficient lab workflow and regulatory readiness. 
  •  Collaborate with simulation faculty, curriculum team, and clinical leadership to support student progress monitoring, remediation preparation, board exam readiness (e.g., CDCA), and continuous improvement of preclinical operations. 

Requirements

Skills & Experience:

  • High school diploma or equivalent, Required
  • High school plus one-year technical training or schooling, Preferred
  • DANB certification(s) or state dental assisting certification preferred. 
  • Experience in a dental school or academic health sciences environment. 
  • Working knowledge of dental instruments, materials, and preclinical procedures. 
  • Knowledge of protected information laws (HIPAA/FERPA). 
  • Familiarity with axiUm, Canvas, or similar academic systems. 
  • Knowledge of CODA standards related to preclinical education.
  • Excellent communication and interpersonal skills. 
  • Dental assisting certification or dental laboratory background. 
  • Strong operational coordination skills. 
  • Technical and mechanical aptitude. 
  • Excellent attention to detail. 
  • Ability to work independently and collaboratively in a fast-paced, team-oriented environment. 
  • Ability to instruct and coach students respectfully in preclinical settings. 
  • Ability to adapt to evolving simulation technologies.
