The AI Operations Specialist is a hands-on, technical-operations leader responsible for building and scaling AI-driven workflows across a fast-growing accounting and back-office services organization. This role sits at the intersection of AI, automation, and accounting operations, driving the transformation of the firm into a modern, AI-enabled back-office platform.
This individual will work closely with accountants, CPAs, and operational leadership to design, implement, and optimize AI-powered solutions that improve efficiency, accuracy, and scalability across both third-party client services and a rapidly growing U.S.-based real estate business.
The ideal candidate brings 3–6+ years of experience in AI, automation, or operations roles, with a strong ability to translate business processes into practical AI solutions. This individual must be comfortable operating in a fast-paced, evolving environment while building scalable systems and training non-technical teams.
RequirementsAI Automation Development
- Design, build, and deploy AI agents and automation solutions across accounting workflows (bookkeeping, reconciliations, AP/AR, reporting) and broader back-office operations
- Identify high-impact automation opportunities across accounting and operational processes
- Integrate AI tools with existing systems (e.g., AppFolio, Yardi, Entrata, Sage)
- Continuously improve automation performance, reliability, and scalability
- Partner with accounting teams to map current workflows and redesign them using AI-enabled solutions
- Reduce manual effort while improving accuracy, speed, and operational consistency
- Develop standardized, repeatable workflows that can be deployed across multiple clients and portfolios
- Drive continuous process optimization across accounting and back-office functions
- Train accountants, CPAs, and support staff on:
- Effective use of AI tools in daily workflows
- Prompting best practices
- AI-assisted decision-making
- Develop internal documentation, SOPs, and training materials
- Serve as the internal AI subject matter expert and champion for adoption across the organization
- Support leadership in defining and executing the firm’s AI roadmap
- Evaluate, test, and implement new AI tools and platforms
- Help scale AI capabilities as the organization grows, ensuring alignment with operational goals
- Balance innovation with practical, business-driven implementation
- Work closely with:
- Accounting teams (CPAs, staff accountants)
- Back-office operations and executive support teams
- U.S.-based operations leadership
- Ensure AI solutions align with real-world accounting workflows and client expectations
- Act as a bridge between technical solutions and operational needs
- Track effectiveness of AI implementations (time savings, error reduction, output quality)
- Establish quality assurance processes for AI-assisted work
- Continuously refine systems based on performance data and team feedback
- Ensure consistency, accuracy, and reliability across AI-enabled workflows
- 3–6+ years of experience in AI/automation, operations, or technical roles
- Hands-on experience building or deploying:
- AI agents
- Process automations
- Strong understanding of workflow design and process optimization
- Proven ability to translate business problems into practical AI-driven solutions
- Excellent communication skills with the ability to train and support non-technical teams
- Experience working with accounting or finance teams
- Familiarity with bookkeeping and property management systems (e.g., AppFolio, Yardi, Entrata, Sage)
- Experience in real estate or property management accounting environments
- Experience working with U.S.-based clients or distributed teams
