Our Agency Experience Coordinator is an energetic, detail-oriented, self-starter with a fabulously positive attitude that helps contribute to and maintain an office environment that allows for employees to feel comfortable and inspired every day, augmenting our agency culture. They are a friendly face welcoming employees and guests, and a resource for team members to ensure they have the workspace they need to do their best work. They are an integral member of the agency operations team.
Primary responsibilities include but are not limited to the following:
- Serve as the first point of contact for all employees, agency visitors and deliveries; a go-to person known for helping employees get quick answers to their questions
- Communicate effectively and professionally with employees’ service requests, seeking solutions quickly, ensuring a welcome
- Serve as a team player within the operations team, collaborating with the team and supporting each other while taking ownership of and responsibility for your own tasks
- Receive main-line phone voice mails, responding and directing them to the appropriate employees as needed
- Conduct rounds to ensure all agency common areas are stocked (kitchens, supply rooms, printer areas) and that everything is organized (all furniture reset daily, all desks reset to sitting position, all desks/conference rooms/meeting areas completely cleaned of any objects left behind)
- Source vendors for weekly agency lunches and execute all steps including placing orders, setting up and breaking down meals
- Monitor/maintain office/pantry supply inventories and help facilitate all supply orders along with the agency experience lead
- Maintain conference rooms and assist with booking meetings
- Ensure that all rooms have the supply kits that they need
- Ensure that tech is connected and running; remotes/keyboards are charged and ready for use
- Assist with agency meeting card expense reconciliation with agency experience lead and agency admin team
- Assist with employee onboarding and off-boarding as directed
- Assist with office events and experiences including planning, ordering supplies, setup and breakdown
- Assist with booking travel and expenses for employees as assigned
- Manage timesheets, ensuring that they are submitted to HR on a weekly basis, as assigned
Skills:
- Tech-savvy (Ideally proficient in Keynote, Google Slides, PowerPoint, Word, and Excel)
- Strong organizational skills
- Experience working in a fast-paced environment with different personality types
The salary range for this position is $36,000 to $55,000. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; market considerations; budgetary considerations; tenure and standing with the company (applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience and qualifications.
