Your Mission

The Advancement Services Manager supports CASL's mission by ensuring the systems, data, and operational processes that power fundraising efforts are accurate, efficient, and donor-centered. This role serves as a critical partner to the Advancement team by managing donor data, gift administration, reporting, prospect research, and stewardship operations that strengthen philanthropic engagement. Through strong data integrity, financial accountability, and strategic insights, the Advancement Services Manager helps CASL build meaningful donor relationships and sustain the resources needed to advance our programs and services.

This role is based in Chinatown, Chicago, with a standard Monday–Friday schedule.

What You’ll Impact 

As the Advancement Services Manager, you will: 

  • Ensure fundraising data, reporting, and donor records are accurate, accessible, and actionable for organizational decision-making.  

  • Strengthen donor engagement through effective stewardship, recognition programs, and annual fund operations.  

  • Provide the operational infrastructure that enables CASL to grow philanthropic support, improve donor retention, and achieve fundraising goals. 

Key Responsibilities:

    • Serve as the primary administrator for Salesforce, maintaining data integrity, constituent records, campaign management, reporting, and system best practices.  

    • Oversee gift processing activities, ensuring donations are accurately recorded, acknowledged promptly, and maintained in accordance with organizational policies and audit standards.  

    • Partner with Finance to complete regular fundraising revenue reconciliations, resolve discrepancies, and maintain accurate donor and financial records.  

    • Develop and distribute fundraising reports, dashboards, forecasts, and performance analyses that support strategic planning and decision-making.  

    • Manage donor data segmentation and list generation for fundraising campaigns, stewardship efforts, events, and marketing initiatives.  

    • Lead donor stewardship and recognition programs, including giving societies, donor acknowledgments, impact communications, and engagement strategies that strengthen donor retention.  

    • Conduct prospect research and discovery activities to identify, qualify, and track prospective donors, maintaining a robust fundraising pipeline.  

    • Coordinate prospect management processes, including tracking donor activity, documenting engagement strategies, and supporting portfolio development across the Advancement team.  

    • Collaborate with the Chief Advancement Officer to execute annual fund campaigns, appeals, and revenue-generating initiatives that increase donor participation and philanthropic support.  

    • Partner with MarCom and cross-functional teams to support fundraising communications, campaign execution, and continuous improvement of advancement operations.

    What You Bring 

    To thrive in this role, you should have: 

Education and Experience:

    • Bachelor's degree in nonprofit management, business administration, communications, marketing, public administration, or a related field preferred.   

    • 3–5 years of experience in fundraising operations, advancement services, development, donor relations, nonprofit administration, or a related field.   

    • Experience working with donor databases, CRM systems, fundraising reporting, and gift administration processes.   

    • Equivalent combinations of education and experience will be considered. 

Skills and Knowledge:

    • Demonstrated experience administering Salesforce or a comparable CRM platform.   

    • Strong analytical, reporting, and data management skills with exceptional attention to detail and accuracy.   

    • Knowledge of fundraising operations, donor stewardship practices, prospect research, and gift processing procedures.   

    • Ability to interpret data and translate insights into actionable recommendations for fundraising strategy.   

    • Strong project management, organizational, and prioritization skills with the ability to manage multiple deadlines.   

    • Excellent interpersonal, written, and verbal communication skills with a collaborative approach to working across departments.   

    • Proficiency in Microsoft 365, including Excel, Outlook, PowerPoint, and Teams. 

Bonus Points For:

    • Experience working in a nonprofit fundraising or advancement environment.   

    • Experience managing giving societies, donor recognition programs, or annual fund campaigns.   

    • Knowledge of wealth screening tools, prospect research platforms, or donor analytics.   

    • Experience supporting fundraising audits, financial reconciliation, or advancement operations compliance.   

    • Ability to speak Cantonese, Mandarin, or Spanish. 

Physical Demands:

  •  Must be able to sit, stand, and walk for extended periods, with occasional lifting or moving of objects weighing up to 20 pounds.  

Environment and Scheduling:

    • Standard business hours, Monday through Friday (9:00 am - 5:00 pm), with flexibility to work additional hours, as necessary.  

    • Occasional evening or weekend attendance may be required to support fundraising events, donor engagement activities, and organizational initiatives. 

Compensation & Benefits: 

This position offers a salary range of $63,000 - $70,000 annually, reflective of experience and qualifications.
