Advancement Operations Coordinator (Full-Time) 

Position Summary

The Advancement Operations Coordinator is a critical member of GrowNYC’s Advancement team who provides administrative support that drives the day-to-day functions of fundraising efforts. The Advancement Operations Coordinator will work with the Advancement team to maintain a solid and growing base of support from funders across multiple revenue streams and is responsible for maintaining a high quality of data integrity, timely gift processing, reporting, and vendor relations. This role will play a critical part in advancing the key goals and objectives of the Advancement team.

Advancement Operations Coordinator Responsibilities (Include but are not limited to):

Administrative Duties

  • Manage GrowNYC’s Raiser's Edge (RE) database, ensuring excellent donor data integrity and systems; train and update Advancement Team in RE functionality and best practices 
  • Process gift acknowledgement letters promptly and with attention to detail
  • Create and execute lists and fundraising reports in support of direct marketing campaigns, donor mailings, fundraising data analysis, and special projects as necessary 
  • Develop new reports that aid development efforts in using data to inform its fundraising operations 
  • Maintain segmented donor communication lists based on data from our CRM and email marketing platform
  • Ensure financial data integrity and reconcile differences between Accounting and Fundraising databases and regularly for tracking receivables and wire transfers.
  • Conduct quarterly wealth screenings of donors using Research Point software
  • Seek out and implement ways to improve efficiency in departmental practices 
  • Process vendor invoices for approval in Netsuite 
  • Accurately record donor pledges in RE, and following up on pledge payments as necessary 
  • Manage GrowNYC’s annual applications to charity assessment organizations like Charity Navigator, Better Business Bureau, and Candid
  • Complete tasks related to fiscal year budget creation
  • Assist with corporate volunteer administrative duties such as invoicing and managing giving portals 
  • Work with Advancement & Finance leadership to support the development and documentation of operational policies and procedures

Donor Cultivation and Fundraising Support

  • Assist with Friends of GrowNYC member inquiries such as changing payment method, canceling donation and ship gifts and handwritten notes to members
  • Manage donor renewal letter process and follow up, in collaboration with Individual Giving Lead
  • Support Individual Giving Lead with personal donor acknowledgement and cultivation for donors through handwritten notes, emails, and phone calls
  • Facilitate personal donor thank yous from CEO and Executive Director
  • Create and edit donor newsletters

Events and Logistics Management 

  • Support and participate in fundraising events throughout the year through tasks including but not limited to:
    • Pulling and executing invite lists
    • Assisting with event and sponsorship proposals 
    • Creating media and event collateral
    • Securing and managing vendor relationships 
    • Other event logistics as needed

Required Qualifications

  • 3-5 years relevant experience in development operations 
  • Computer-savvy and comfortable using data, analytics, and financial reporting to help inform decisions
  • Experience with database management; Raiser’s Edge experience preferred
  • Highly organized, superior attention to detail and follow-through
  • Demonstrate initiative, critical thinking, and the ability to anticipate challenges
  • Ability to handle confidential information with discretion
  • Consistently uphold an exemplary standard of professional conduct and personal presentation, ensuring that every interaction reflects the values and integrity of the organization.
  • Proficiency in Google Workspace applications
  • Excellent interpersonal and communication skills, both written and verbal
  • Capacity to take initiative, be proactive, prioritize duties, and work independently while functioning as a member of a team
  • Creative, energetic thinker, willing to jump in as a team member on diverse efforts

Schedule

The position is full-time (35-40 hours per week), Monday through Friday, and occasionally on weekends. Three (3) in-office days are required; office presence is mandatory on Wednesdays for all staff.

Compensation
The position is non-exempt and full-time. It pays $65,000-$75,000 per year and includes full benefits. This position is not union eligible/not a part of the bargaining unit.

Location

The office is located in downtown Manhattan and occasional travel within the five boroughs may be required for events and donor cultivation efforts.
