iam8bit is seeking a detail-oriented and proactive, full-time XP Administrative Assistant. As some of the glue that holds the department operations together, you’ll play a pivotal role in optimizing department workflows. From supporting the Senior Project Manager of Partner accounts, to supporting the entire XP Department with administrative assistance on events and mailers, This position requires exceptional problem-solving abilities and strong communication skills, and is at the forefront of our mission to deliver exceptional experiences to our clients and partners. This role reports to the Head of Project Management.

RESPONSIBILITIES 

CUSTOMER EXPERIENCE SUPPORT (FOR PARTNER ACCOUNTS)

  • Independently manage and resolve customer inquiries maintaining strong response times.
  • Collaborate with external 3PL’s to resolve any order fulfillment issues and on product shipments and inventory.
  • Identify patterns in order issues and proactively suggest process improvements.
  • Assist with Partner Account administration including Customer Service, Web Store Administration, and Product Launches. 
  • Support the production of associated products for sale, promotional items, or giveaways.
  • Ensure milestones and deliverables of projects are met, proactively identifying and flagging any potential risks, as well as collaborating with leadership to creatively resolve issues as they arise. 

DEPARTMENT ADMINISTRATION

  • Perform day-to-day clerical work, errands, and logistics for the XP department.
  • Contribute to process improvements across every project and the department as a whole. 
  • Lead by example in maintaining clean and safe workspaces, adhering to all safety protocols.
  • Maintain adequate inventory levels and accurate records
  • Assist with shipping and receiving logistics, including package preparation, maintaining tracking systems and materials, troubleshooting shipping issues, and ensuring accurate documentation for all parcels.
  • Help the project team to organize and prepare project materials and components for fulfillment, ensuring smooth operations and adherence to quality control standards, as well as ensuring all deliverables meet established criteria.

SKILLS & EXPERIENCE

  • 1+ years of customer service and administrative experience, preferably in an e-commerce environment.
  • Demonstrated ability to work independently with minimal supervision.
  • Strong problem-solving skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficient in general computing skills, (Google Suite, Microsoft Office, Adobe Suite, etc). 
  • Self-motivated with strong time management skills.
  • Captable typist with typing speed of 50+ WPM preferred.
  • Superior organizational and documentation skills. 
  • Ability to meet strict deadlines. 
  • Ability to communicate effectively with internal and external teams and partners. 
  • Ability to work in a fast-paced environment, and on multiple projects simultaneously. 
  • Experience using packaging equipment (pallet jacks, shrink-wrapping machines, Zebra printers) is preferred.
  • Experience using label-making software (ShipStation, Fedex.com) preferred. 

PHYSICAL REQUIREMENTS

The successful candidate must be able to perform the essential functions of the job with or without reasonable accommodation. This may require sitting, or alternating between sitting and standing, for extended periods, keyboarding,
lifting, carrying, bending, standing for extended periods, climbing, walking, fine motor skills, and other physical activities associated with a coordinator or customer service role.

This is a full-time, non-exempt position with an anticipated rate of $22-$28/hour.
Office
Hours are 9:30a - 5:30p, Monday - Friday, with occasional work outside of business hours including weekends. The position is hybrid at our offices in Highland Park with occasional work at our Pasadena warehouse location, with some work from home days depending on departmental and project needs.
