About the Position

The Administrative Specialist plays a vital role in supporting a dynamic legal team by providing high-quality administrative and operational assistance to attorneys, paralegals, and legal support staff within the Division. This position offers the opportunity to contribute to meaningful legal work while managing a variety of responsibilities, including preparing professional documents and spreadsheets, coordinating office operations, and utilizing standard office equipment.

We Require

  • Two years of specialized clerical experience

  • High School Diploma or GED

  • Post-secondary education may substitute for 6 months of the experience requirement 

NOTE:  The Maricopa County Attorney's Office requires a thorough background check of all successful candidates and is authorized to test prospective employees for the presence of illegally accessed drugs. Testing is conducted once an offer has been extended and prior to placement.

Job Contributions

  • Provide specialized clerical support to the attorneys, paralegals, legal support specialists, and practice group leaders to assist in the processing of civil litigation matters.

  • Open and create digital files.

  • Serve in a receptionist capacity by answering the telephone, responding to general information questions, directing or screening calls, and taking accurate messages.

  • Prepare and process specialized paperwork as directed.

  • Utilize a computer to look up and retrieve case information from various databases

  • Organize case files for close-out; enter case disposition and close-out information into the County Attorney's Office case management system.

  • May be responsible for document delivery runs between divisions within the office and hand deliveries to Judges and Superior or District Court filing counters as needed.

  • Sort and distribute electronic pleadings and minute entries.

  • Some positions may required use of skills to provide English/Spanish translation.

Working Conditions

  • An office setting that may require extended periods of sitting to perform tasks

  • May be required to drive a personal or county-owned vehicle to travel to and from various county locations

  • Ability to move up to 20 pounds from the floor to the waist and pushing/pulling up to 20 pounds a distance of up to 100 feet
