To support our ongoing growth and ensure smooth business operations, we are looking for an Administrative Manager who excels at multitasking, has a keen eye for detail, and is dedicated to maintaining high standards of organizational efficiency. The role will be based in one of our offices—Dnipro or Kyiv—or involve managing both locations. What You Will Do:

- Manage daily office operations, maintaining equipment and supplies, coordinating with vendors for services, and providing administrative support, including handling mail and courier tasks.

- Keep precise records of office inventory, manage procurement, and ensure timely replacement of equipment, furniture, and supplies to support smooth office operations.

- Manage procurement of work equipment to ensure timely provision of necessary devices for employees.

Ensure compliance with health, safety, and ergonomic standards in office spaces through regular inspections and implementation of necessary measures.

- Coordinate internal and external events, such as meetings, training sessions, and business trips, working with departments to ensure successful planning and execution.

- Maintain professional communication with vendors, external contractors, and company departments to ensure smooth office operations.

- Manage office expenses, maintain financial records, and collaborate with accounting for accurate tracking and reporting.

- Organize and store all office-related documentation, including contracts, service agreements, and administrative records, ensuring easy access and compliance with company policies.

- Manage documentation for employee time-off requests, and business trips.


What You Need to Land This Opportunity:

- Experience in budget planning, tracking expenses, procurement, and accounting to ensure transparent and efficient financial management.

- Familiarity with health and safety regulations, compliance standards, and ergonomic best practices.

- Proficiency in Google Workspace (Gmail, Google Drive, Google Docs, Google Sheets, Google Slides) and other office management software.

- Ability to conduct in-depth research to identify and evaluate potential suppliers, contractors, or products that meet the company’s needs and quality standards.

- Proficiency in preparing, managing, and maintaining documentation in accordance with company standards and compliance regulations.

- Experience in planning logistics, including arranging shipments, selecting delivery methods, optimizing routes, and coordinating travel and accommodations for staff.

- Excellent organization skills with the ability to prioritize tasks, manage time effectively, and keep an organized and efficient work environment.

- Strong verbal and written communication skills to effectively interact with management, colleagues, and vendors.

- Intermediate level of English for professional communication and collaboration within the team.

- Strong problem-solving skills with the ability to think ahead, develop contingency plans (Plan B), and consider alternative strategies to minimize disruptions and ensure seamless office operations.

- Ability to handle multiple tasks simultaneously in a dynamic environment while demonstrating adaptability and flexibility to changing needs and priorities.
