Administrative Data Specialist

Heritage Health Network (HHN) is seeking an Administrative Data Specialist to support our Operations and Clinical teams through accurate data entry, reporting, documentation, and data reconciliation. This role is ideal for a detail-oriented professional who is comfortable working across healthcare systems and spreadsheets in a fast-paced environment.

Key Responsibilities
  • Perform accurate data entry and maintenance across eClinicalWorks (ECW), Google Workspace, reporting trackers, and dashboards.
  • Review, validate, and reconcile clinical and operational data for accuracy and completeness.
  • Prepare datasets, track metrics, and identify data discrepancies for reporting and compliance needs.
  • Maintain organized documentation and electronic files for audits and internal reporting.
  • Assist with data cleanup, backlogs, and ongoing data quality initiatives.
  • Support Care Operations and Outreach teams with data and administrative needs.
  • Follow up on missing or incomplete information and coordinate with internal teams to resolve issues.
  • Maintain confidentiality and comply with HIPAA and organizational data standards.
  • Adapt to changing workflows and priorities in a growing healthcare environment.


Requirements
Qualifications
  • High school diploma required; Associate's degree or higher preferred.
  • 1–3 years of experience in administrative support, data entry, operations, or healthcare support.
  • Experience with eClinicalWorks (ECW) preferred, including chart review, task tracking, or data extraction.
  • Proficiency with Google Sheets, including formulas, filters, and data organization.
  • Healthcare operations, clinical documentation, reporting, or data reconciliation experience preferred.
  • Strong attention to detail, organization, and problem-solving skills.
  • Ability to manage multiple systems and priorities while meeting deadlines.
  • Strong written communication and ability to work independently.
  • Ability to handle confidential information with discretion.
