We are actively hiring a Front Desk Administrator at our San Antonio, TX site!
The Administrative Coordinator is an essential member of the Flourish Research team, supporting the smooth flow of daily operations and business activities across all departments. This role provides comprehensive administrative support to leadership and staff while ensuring all responsibilities are performed in accordance with Flourish Research’s core values and Employee Manual.
Shift: Monday-Friday, 8:30 AM - 5 PM
Location: 5430 Fredericksburg Rd., Suite 200, San Antonio, TX 78229
Compensation: $17/hr + quarterly bonuses after probationary period

RESPONSIBILITIES
- Represent Flourish Research in a professional and courteous manner in all verbal, written, and in-person interactions with staff, clients, and vendors.
- Communicate effectively and professionally with sponsors, physicians, office personnel, patients, employees, and contract personnel.
- Greet patients and monitors and notify appropriate study coordinators.
- Maintain confidentiality of all subject, protocol, and company information.
- Answer phones, route messages, and document study-related communications as needed.
- Provide accurate document creation and revision support for study coordinators, regulatory staff, and operations.
- Distribute incoming mail and faxes and maintain updated lists, logs, and files.
- Assist the regulatory department with CV/resume updates, filing, and copying.
- Accurately file documents in subject charts, regulatory binders, and departmental records.
- Conduct follow-up calls and schedule subject visits and procedures as directed.
- Perform duties efficiently and complete additional tasks as assigned.
- Education: Bachelor’s degree or equivalent experience in an administrative or clinical research support role.
- Experience: 1–3 years of experience in clinical or biological research.
- Knowledge and Skills:
- Strong knowledge of clinical research processes and methodologies
- Demonstrated management, leadership, and cross-functional collaboration skills
- Excellent written and verbal communication abilities.
- Proficiency with Office 365 and general business software.
- Experience writing, reviewing, and maintaining Standard Operating Procedures (SOPs).
- Strong problem-solving, risk assessment, and impact analysis skills.
- Proven experience with process improvement initiatives.
- Effective negotiation and conflict-management skills.
- Ability to multitask, prioritize competing demands, and adapt to changing priorities.
- Independent thinker with the ability to influence and drive alignment when appropriate.
