Gunderson Dettmer has an opening for an Administrative Coordinator, Office of General Counsel in our Boston office. The Administrative Coordinator will provide on-going clerical and programmatic support to the members of the firm’s Office of General Counsel (“OGC”).
Job Responsibilities
Perform a broad range of administrative tasks. These include but are not limited to, creating, formatting, revising and editing Departmental and Firm documents, forms and publishable materials.
Organize and maintain paper and electronic filing in accordance with firm procedures and standards. Maintain confidential and sensitive information at most secure level.
Coordinate newsletter publication, maintain updated FAQs, and curate internal subject matter sites. Keep published documentation current.
Create slide decks and training materials for internal and external presentations.
Coordinate various OGC strategic projects across multiple departments.
Support Information Security team projects, including cybersecurity audits and software procurement workflows.
Coordinate firmwide California Bar attorney license renewal process.
Support New Business Acceptance team with drafting of engagement letters and conflict waivers.
Provide research assistance to OGC team members.
Coordinate payment of invoices with Accounting Department and liability-insurance provider
Manage calendar and contacts, including scheduling meetings and conferences.
Arrange domestic travel and conference attendance for team members, including expense reimbursement
Potential Growth Areas
Manage Firm insurance and business registration renewals for U.S. offices.
Facilitate OGC orientation sessions for U.S. staff hires.
This role may develop over time, with additional responsibilities and opportunities, such as travel to relevant meetings and conferences, with proven engagement with growth areas.
Job Requirements
Minimum of one (1) to five (5) years of administrative experience, preferably in a law firm or professional services firm.
Advanced, proficiency in Microsoft Word, Outlook, PowerPoint, and Excel as well as other tools and databases. Familiarity with Canva a plus.
Experience working within a Document Management System required.
Experience using Docusign required.
Willingness to learn new skills and technologies.
Excellent interpersonal, written (grammar, spelling, format) and verbal communication skills.
Demonstrated problem solving skills.
Ability to work collaboratively with all levels of the organization and demonstrate a team-oriented work style.
Excellent organizational skills and attention to detail.
Ability to effectively handle shifting priorities and adapt to changing demands in a fast-paced, dynamic environment.
Strong analytical and reasoning abilities.
Strict and complete adherence to maintaining confidential and sensitive information and displaying sound judgment regarding same.
Ability to work overtime.
Educational Requirements
BS/BA degree strongly preferred.
Schedule
Monday through Friday, 8:30 a.m. to 5:00 p.m.
Expected to work in the Boston office a minimum of 4 days per week.
Status
Full Time, Non-Exempt
The annualized base salary range for this position is expected to be $70,000.00-$80,000.00. While this range reflects the minimum and maximum value for new hire salaries for the position across all US locations, the offer for the successful candidate for this position will be based on job related capabilities, applicable experience, and other factors such as work location. Please note that the compensation details listed in US role postings reflect the base salary only and do not include bonus, benefits, or related incentives for which this position is eligible.
