Administrative Coordinator for Children, Youth and Family Services Division

The Administrative Coordinator III provides high-level administrative, operational, project, and coordination support directly to the Director of Children, Youth & Family Services (CYFS). This position acts as a key liaison between the Director, division leadership, staff, organizational departments, and external partners while managing executive calendars, meeting preparations, communications, documentation, purchasing, contracts, and HR onboarding workflows. Operating in a fast-paced behavioral health environment, the role manages competing priorities, maintains complex tracking systems for grants and compliance, supports board reporting, and assists with programmatic financial and operational data management.

By managing essential administrative infrastructure, project tracking, and communication flow, this position enables the CYFS Division to effectively deliver behavioral health services to children, youth, and families. The role directly strengthens collaboration across schools, state agencies, funders, and community organizations to ensure smooth operational logistics, contract compliance, and continuous service delivery.

Summary of Duties

  • Provide comprehensive executive and administrative support to the CYFS Director, including calendar management, correspondence, meeting logistics, and tracking important deadlines and deliverables.
  • Coordinate administrative support for CYFS leadership, board, and committee meetings, including setting agendas, taking minutes, managing action items, and preparing reports.
  • Manage administrative project support for CYFS strategic initiatives, grants, and contracts by building tracking tools, compiling monitoring documents, and organizing supporting data.
  • Facilitate internal and external communications, serving as a primary administrative contact between the Director, program managers, WCMHS departments, and state agencies.
  • Process purchase orders, invoices, reimbursements, and credit card documentation while monitoring program budgets, grant expenditures, and resource procurement.
  • Support workforce administration by assisting with recruitment logistics, scheduling interviews, onboarding new hires, overseeing position numbers, and tracking staff training.
  • Organize logistics, room reservations, technology, materials, and registrations for CYFS division-wide meetings, trainings, conferences, and staff engagement events.

Compensation and Benefits

WCMHS provides a comprehensive benefits package including health, dental, vision, retirement, and an industry-leading paid time off package including 12.5 flexible holidays per year and 12 each sick days and paid vacation days earned in your first year of employment.

The starting pay range for this position is $26.97 to 28.07 per year.

Qualifications

Summary of Qualifications and Skills

  • Bachelor’s degree in a human service or related field 
  • Three years of direct experience. 
  • Background in providing services to or with children, youth, and families experiencing challenging behaviors.
  • Experience in teaching and training adults, clinical practice and methods, electronic medical records (EMR), and Medicaid regulations.
  • Strong organizational, discretion, independent judgment, and administrative tracking abilities to manage competing priorities in a fast-paced environment.
  • Valid driver’s license, excellent driving record, and access to a safe, reliable, insured vehicle.
  • Ability to assist in providing interventions, execute physical restraints, and handle high-level confidential information adhering to organizational policies and laws.
