Role:
Serves as the primary administrative coordinator for the Department of Athletics, providing operational, financial, and administrative support for athletic programs. Coordinates departmental business functions, student-athlete administrative processes, event logistics, and daily office operations. Serves as a key point of contact by answering inquiries, responding to calls, and scheduling appointments to support staff and student-athletes.
Major Duties and Responsibilities:

Support daily operations of the Department of Athletics and provide excellent customer service to students, staff, and the public.

Serves as a liaison with coaches, student-athletes, campus departments, officials, vendors, and community partners.

Collect and compile data, prepare reports, and assist with presentations and special projects.

Coordinate meetings and events, including scheduling, room setup, materials preparation, and logistical support for students and staff.

Assist with athletic operations such as scheduling contests, coordinating transportation, officials, and facility usage.

Support student-athlete intake, eligibility documentation, recruitment, and retention initiatives.

Maintain organized records and files using Office 365, DocuWare, and other systems; handle confidential information in compliance with FERPA other regulatory requirements.

Composes correspondence, corrects grammar, punctuation, and spelling.

Prepares and processes departmental purchase requisitions, travel requests, payment approvals, and related business documents.

Assists with departmental budget tracking and reconciliation.

Assists with student-athlete eligibility documentation and retention initiatives.

Works flexible hours (occasional early mornings, evenings, or weekends) to support activities as needed.

Performs other duties, as assigned.
Knowledge and Skills:
Interpersonal Skills Ability to work with a diverse student/staff population. Ability to exercise tact, patience, initiative, persistence, and good judgment when helping inquirers with situations. Demonstrate excellent interpersonal skills, especially with students/parents/staff.
Technical Skills Proficient knowledge of current and emerging computer hardware and software, including relevant ERP systems and excellent computer skills in all Microsoft Office products and Internet.
Other Skills Excellent oral and written skills. Strong organizational abilities with strong emphasis on prioritizing and meeting deadlines. Ability to be self-disciplined, professional, and motivated. Ability to exercise sound judgment. Ability to maintain a pleasant, outgoing personality, a stable and courteous disposition, and a record of dependability. Ability to concentrate in a busy environment with frequent interruptions to work flow.
Physical Requirements Much of the work involves normal office work including sitting, walking, standing, bending, carrying light items, etc. Periodic manual labor will be required.
Work Environment Some exposure to potentially dangerous conditions such as those found in a facility producing scientific and art glass items.

Skills Required
- Associate's degree or equivalent
- Prior athletics experience
- Customer service experience
- Experience working with students, preferably in a collegiate environment
- Experience in athletics administration, event coordination, budgeting, scheduling, or related functions
