What You’ll Do
As an Administrative Coordinator, you will serve as a highly visible and integral member of the team, ensuring the seamless day-to-day operations of the office while delivering an exceptional client experience. Acting as the first point of contact for clients and visitors, you will create a welcoming and professional environment and serve as a key support partner to internal teams.
This role requires strong organizational skills, adaptability, and a proactive, service-oriented mindset. You will thrive in a fast-paced environment, particularly during peak tax season, when priorities shift and workload increases. Success in this role depends on your ability to manage multiple responsibilities, maintain attention to detail, and provide high-quality support under pressure.
- Serve as the face of the office by welcoming clients and visitors, creating a professional, friendly, and responsive environment
- Manage front desk operations including answering phones, routing calls, and handling general inquiries with accuracy and efficiency
- Maintain a clean, organized, and fully operational office environment, including managing supplies, coordinating vendors, and resolving facility-related needs
- Receive, sort, and distribute incoming mail, deliveries, and client documents; prepare and process outgoing mail and shipments
- Support document management processes including scanning, filing, organizing, and maintaining accurate records in a paperless environment
- Assist with client financial transactions including receiving payments, preparing deposits, and supporting basic bookkeeping or accounting-related administrative tasks
- Provide direct administrative support to accounting and operations teams, including data entry, reconciliation support, and client file maintenance
- Assist with tax workflow processes, including organizing client documents, processing tax returns, and supporting e-filing activities during peak periods
- Coordinate schedules, meetings, and internal activities, ensuring logistics and materials are prepared in advance
- Support special projects, reporting, and research initiatives as assigned by leadership
- Proactively identify opportunities to improve administrative workflows, organization, and office efficiency
- Adapt to seasonal business needs, with increased hours and responsibilities during peak tax season
What You’ll Bring
- Associate’s degree or equivalent experience preferred
- 2+ years of administrative, office coordination, or customer-facing experience
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience working in a paperless or digital document environment preferred
- Excellent organizational, multitasking, and time-management skills
- Strong interpersonal and written/verbal communication skills
- High attention to detail and ability to manage confidential information with discretion
- Demonstrated emotional intelligence, including professionalism, empathy, and sound judgment
- Self-motivated with the ability to prioritize tasks and work independently in a part-time capacity
- Willingness to be flexible with scheduling, including increased hours during peak tax season

- Base salary of $18.00-$21.00 plus discretionary bonus (exact base salary amount will be dependent on experience)
