Purpose of the Role:

As an integral member of our Private Wealth Team, you provide exceptional administrative support to teams of Wealth Advisors and Wealth Planning Associates to ensure client and team needs are being met. Your support provides leverage for the team to focus on growing our business, providing the best possible bespoke experiences for our valued clients. As an Administrative Associate, you will have opportunities to reach your career aspirations whether that be a brilliant career Administrative Associate or a future Wealth Planning Associate.

This role will operate on a hybrid working model and is based in Vancouver.

Core Responsibilities:
  • Provide comprehensive administrative and practice management support to Wealth Advisors, including task coordination, reminders, reporting, cash management support, and technology updates.
  • Support end‑to‑end client service activities, including scheduling and coordinating meetings, preparing materials, following up on action items, managing day‑to‑day client requests, and communicating with clients as required.
  • Process client onboarding and new business requests, maintain accurate client records in Salesforce, and manage related documentation.
  • Coordinate client events and manage invitations, ensuring timely communication and execution.
  • Support business development efforts by coordinating introductory meetings, creating and maintaining prospective client records in Salesforce, tracking pipelines, and following up on leads in partnership with Marketing.
  • Coordinate and liaise with internal stakeholders on corporate initiatives and projects on behalf of Wealth Advisors, supporting task management, deliverables, and ongoing priorities.
  • Other relevant and related responsibilities, as assigned and as the needs of the organization change.
Required Skills & Qualifications:
  • Minimum 1 year of related work experience in an administrative capacity. 
  • Prior experience working in the financial services or wealth management industry preferred.
  • Post-secondary education in finance or related discipline. 
  • Canadian Securities Course (CSC) preferred.
  • Experience working in a high-performing client service-oriented work environment. 
  • Highly organized and skilled at focusing on a high volume of tasks with competing priorities and deadlines.
  • Superior attention to detail.
  • Demonstrated diplomacy, tact, and professionalism in a high-volume environment. 
  • Highly proficient in MS Word, Excel, PowerPoint, Outlook, and technology in general. 
  • Must be legally eligible to work in Canada for any employer.
Compensation & Benefits Package:

This position comes with a base salary range of $51,000 - $71,000 plus a competitive performance bonus, RRSP contribution and participation in our profit-sharing program. Base salary will be commensurate with experience, skills, and qualifications.
