Administrative Assistenz (fließend Deutsch sprechend)
Für unser Büro in Frankfurt suchen wir eine erfahrene administrative Fachkraft, die sowohl organisiert als auch engagiert ist und über hervorragende zwischenmenschliche Fähigkeiten verfügt. In dieser Rolle übernehmen Sie administrative und operative Unterstützungsaufgaben für mehrere Beratungsfachkräfte innerhalb eines Büros.
Aufgaben:
  • Entlastung und Unterstützung der Führungskräfte zur Steigerung ihrer Produktivität (z. B. Annahme und Filterung von Anrufen, E-Mail-Korrespondenz sowie Kommunikation mit Lieferanten und Kunden);
  • Umfassendes Termin- und Zeitmanagement für mehrere Personen (Terminvereinbarungen, Kalenderpflege sowie Organisation und Koordination von Meetings);
  • Durchführung administrativer Prozesse (Zeiterfassung und Reisekostenabrechnungen);
  • Organisation nationaler und internationaler Geschäftsreisen (Reiseplanung, Visaangelegenheiten etc.);
  • Koordination interner und externer Meetings sowie Veranstaltungen (z. B. Raumreservierungen und -vorbereitung, Hotelbuchungen, Catering usw.);
  • Vorbereitung und Organisation von Unterlagen für Kundenangebote und Präsentationen nach Bedarf (Vertragsverfolgung, Drucken, Strukturieren und Archivieren von Meeting- und Supportmaterialien);
  • Eigenständige Bearbeitung von Fragestellungen sowie Analyse und Lösung von Problemen in Zusammenarbeit mit internen und externen Stakeholdern;
  • Übernahme von Sonderprojekten mit engen Fristen;
  • Vertretung am Empfang (Telefonannahme, Begrüßung von Besuchern, Annahme von Lieferungen);

Qualifikationen:
  • Abgeschlossene Schulausbildung erforderlich; postsekundäre Ausbildung oder Associate-/Bachelorabschluss wünschenswert;
  • fließend in Englisch
  • Mindestens drei Jahre relevante Berufserfahrung als Administrative Assistenz oder Executive Assistant, idealerweise in einem professionellen Dienstleistungsumfeld;
  • Sehr gute Computerkenntnisse in MS Office (Word, PowerPoint, Excel und Outlook); Kenntnisse in SAP und Concur von Vorteil;
  • Ausgeprägte mündliche und schriftliche Kommunikationsfähigkeiten;
  • Professionelles Auftreten und Verhalten sowie die Fähigkeit, gutes Urteilsvermögen und Diskretion walten zu lassen;
  • Hohe Detailgenauigkeit, Zuverlässigkeit und Pünktlichkeit;
  • Proaktive, strukturierte und selbstständige Arbeitsweise mit der Fähigkeit, mehrere Aufgaben parallel zu managen und Fristen einzuhalten;
  • Freude an eigenverantwortlicher Arbeit sowie ausgeprägte Teamfähigkeit in einem dynamischen und anspruchsvollen Umfeld;

Skills Required

  • Completed education required; post-secondary education or Associate/Bachelor's degree desired
  • At least three years relevant experience as an Administrative Assistant or Executive Assistant
  • Proficient in MS Office (Word, PowerPoint, Excel, Outlook); knowledge of SAP and Concur beneficial
  • Excellent communication skills, both oral and written
  • Strong professional demeanor and ability to exercise good judgment and discretion
  • High attention to detail, reliability, and punctuality
