Quintairos, Prieto, Wood & Boyer, P.A. (QPWB), a multi-office national law firm, has an immediate opening for a full-time Administrative Assistant in our Miami, FL office. This is an excellent opportunity for a detail-oriented administrative professional to join a fast-paced legal environment and play an integral role in supporting our litigation teams.
About the RoleThe Administrative Assistant is responsible for the processing, tracking, and management of subpoenas and related documents, working closely with attorneys, clients, and third-party providers. This position is ideal for someone who thrives on organization, accuracy, and communication, and who has previous experience in a law firm or court setting.
Key ResponsibilitiesReceive, review, and process incoming subpoenas and related legal requests
Prepare and issue outbound subpoenas under attorney direction
Track and manage the status and disposition of subpoenas, ensuring timely follow-up and documentation
Communicate with clients, witnesses, experts, and medical providers as needed to coordinate records
Assist attorneys in responding to inquiries regarding subpoenaed information
Maintain organized and updated case files and documentation
Prepare and bill time entries accurately, including invoice processing
Support other administrative team members and departments when needed
Perform other clerical or administrative tasks as assigned
Minimum 2 years of experience in a clerical role within a law firm or court environment, specifically handling subpoenas
Strong knowledge of subpoena procedures, legal terminology, and billing practices
Proficiency in Microsoft Word, Outlook, and Excel
Strong organizational and time-management skills with the ability to manage competing priorities
Excellent written and verbal communication skills
Ability to work independently and exercise sound judgment in time-sensitive situations
High School Diploma or equivalent required
This position involves primarily sedentary work, including extended periods of sitting, use of computers and office equipment, and occasional standing, reaching, or lifting of items up to 20 pounds.
Work EnvironmentThis role is based in a professional indoor office environment with standard business hours. The employee may experience varying noise levels and occasional interruptions.
