Executive Administrative Assistant

LGT Capital Partners (USA) Inc. is the operating arm of LGT Capital Partners Limited in the United States executing a number of investment and client servicing functions, employing approximately 100 people. The company is expanding and looking to add a highly-motivated Administrative Assistant to join the Administrative team. This role will be based in our San Francisco office.
Primary Functions of the Executive Administrative Assistant role include:
Executive Administrative support to the San Francisco office team members
Managing calendars and schedules for all team members,
Booking and coordinating virtual and in person meetings
Arrange and coordinate international & domestic travel for all team members
Preparation of high-volume client meeting materials (printing, binding and shipping presentations)
Expense platform support, preparation and submission
Coordination of catering for onsite client meetings
Coordination and booking for off-site team social events
General support for San Francisco office administrative needs
Annual support of holiday card and client gift distributions
Back-up EA support for other team admins
Support at Reception desk if/when necessary
Managing visitor requests
Support to organize podcast logistics in partnership with Marketing team
Requirements
Bachelor Degree
Quick learner, meticulous, detail-oriented
Intermediate to advanced knowledge of Microsoft Office and Outlook
Professional demeanor & phone manner
Proven organizational skills – ability to multi-task and prioritize heavy workload
Eager to be part of a strong and supportive Administrative team
Good team player who can also function independently
Energetic, flexible, and capable of working under time constraints
Ability to work with colleagues at other global offices of the firm, and to manage communications and schedules accordingly
Legally authorized to work in the United States

Schedule:
8:30am – 5:30pm

Salary range
The Company anticipates that the annual base salary for this San Francisco-based, non-exempt position could range from $85,000.00 to $105,000.00. The actual annual base salary paid for this position will depend on factors, such as the skill, experience, and qualifications of the chosen candidate for the position.
