Job Summary (includes but is not limited to the following, other duties may be assigned)

Working primarily independently under supervision, performs advanced and highly complex administrative/clerical functions including: word processing or typing letters, inputting information into sales management system, generating sales reports, memoranda and forms, orders supplies, maintains files, answers telephones, schedules appointments, plans sales conferences and trade show events, makes travel arrangements, receives visitors, and sorts mail.

Job Responsibilities

  • Plans or schedules own work
  • Coordinates and/or takes lead responsibility on special projects requiring advance skills
  • Schedule and manage meetings and conflicts on calendars; answer and screen telephone calls, take messages, monitors voicemail; process daily incoming and out-going mail.
  • Create and manage all aspects of travel arrangements; reconcile expense accounts; approve and process payments.
  • Approve and reconcile expense reports following the company expense policy in Concur system.
  • Uses business applications software and peripherals equipment (e.g., complex databases, advanced Presentation graphics, detailed spreadsheets using original formulas, operates fax machines, copy machines, etc.)
  • Researches and compiles information and data for analysis
  • Prepare, edit and draft correspondences, PowerPoint presentations, create MS Visio, Word and Excel documents.
  • May process time sheets, payroll, cashiering, budget, expense accounts and other financial records, etc. • Follows established safety procedures
  • Order supplies as needed for New Jersey Office and Home Office Employees
  • Orders employee business cards, billing paper, stationary for the office
  • Assists with marketing items for sales and coordinates shipping trade show booth
  • Point of contact for building issues including but not limited to emergencies, parking overall building and employee environment issues.
  • Performs various other administrative-related functions as necessary 

Job Requirements 

  • High school diploma. College courses/vocational training desired.
  • 5+ years’ experience.
  • Demonstrated knowledge of business application software including spreadsheets, databases and word processing.
  • Must be able to operate a computer and peripheral equipment for word processing. Must possess intermediate math skills and be able to operate a calculator.
  • Excellent oral and written communications skills required.
  • Sitting and standing for long periods of time
  • Work with Accounts Payable to ensure accurate and timely processing of expense reports

Salary Information - Position eligible for annual bonus.

Hourly pay range $24.22 to $33.90
