A DAY IN THE LIFE:
The Administrative Assistant plays a vital role in supporting management and employees by managing various office tasks and fostering a positive workplace environment. This position is key in facilitating smooth operations and ensuring that the needs of the facility are met efficiently, while providing executive-level support to senior management.
- Handles Office Tasks: Manages filing, generates reports and presentations, sets up meetings, and reorders supplies to ensure the office runs smoothly.
- Executive Administration Support: Providing comprehensive executive support to senior management, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Supports Shipping and Receiving: Assists with daily shipping and receiving tasks, including paperwork processing and liaising with the Inventory and Operations teams to ensure timely deliveries.
- Coordinates Company Events: Organizes company events by making catering arrangements and restaurant reservations, ensuring a seamless experience for all attendees.
- Real-Time Scheduling Support: Provides scheduling support by booking appointments and preventing conflicts, allowing management to focus on strategic tasks.
- Communicates Professionally: Maintains polite and professional communication via phone, e-mail, and mail, ensuring a positive experience for all visitors and staff.
- Anticipates Needs: Proactively identifies and addresses the needs of others to enhance their overall experience in the workplace.
- Maintains Inventory: Monitors and orders office and break room supplies to ensure all staff have what they need to work effectively.
- Assists with Facility Needs: Supports overall facility requirements to expedite processes and resolve any issues as they arise.

WHAT YOU’LL NEED:
- High school diploma required; Associate’s degree preferred. An equivalent combination of relevant education and applicable job experience may be considered.
- Two or more years of related administrative experience supporting senior executives in a fast-paced environment.
- High proficiency in Microsoft Suite programs, including Word, Excel, PowerPoint, and Teams is a must.
- Excellent written and verbal communication skills, with the ability to interact clearly and professionally.
- Extremely organized with strong multitasking and time-management abilities.
- Capable of handling sensitive information with the highest degree of integrity and confidentiality.
- Ability to obtain a U.S. Security Clearance.
COMPENSATION & BENEFITS:
The starting rate for this position ranges from $24.00 to $28.00 per hour, depending on the candidate’s job-related knowledge, skills, and experience. In addition to a competitive base pay, Innoflight offers a well-rounded compensation package that includes a Profit-Sharing Bonus and a Cash Performance Bonus to reward both individual and company performance.
