The Gladstone Institutes is seeking a dynamic Administrative Assistant to provide high-level administrative support to two investigators and their research teams at the Gladstone Institute of Neurological Disease (GIND).This role is ideal for someone with exceptional attention to detail, outstanding multitasking abilities, and a positive, can-do attitude. - Provide comprehensive administrative support to investigators and research staff.
- Manage complex calendars, schedule meetings, and coordinate logistics such as room reservations, refreshments, and transportation.
- Arrange detailed domestic and international travel itineraries and process expense reimbursements in a timely manner.
- Communicate regularly with laboratory teams to assess supply needs; coordinate with vendors, procurement, and accounting to ensure timely and cost-effective purchasing.
- Format, proofread, and edit a variety of documents, including correspondence, manuscripts, bibliographies, and grant proposals.
- Ensure compliance with formatting and submission requirements for grant and fellowship applications.
- Organize and execute weekly seminars and special events, including guest travel, venue bookings, catering, and on-site support.
- Act as a liaison with other departments such as Accounting, Grants, Human Resources, Philanthropy, IT, the Executive Office, and Facilities/Operations.
- Serve as a point of contact with external collaborators, institutions, and government agencies as appropriate.
- Support postdoctoral scholars and graduate students with onboarding and departmental administrative needs.
- Maintain and update lab websites and internal filing systems to ensure easy access to current information.
- Establish and manage templates and standardized sections for grant applications (e.g., Biographical Sketches, Other Support).
- Take on additional responsibilities and projects as needed, aligned with the evolving needs of the lab and institute.
- Demonstrated ability to work independently with minimal supervision.
- Exceptional organizational, time management, and problem-solving skills.
- Excellent verbal and written communication abilities, with strong grammar, editing, and proofreading proficiency.
- Professional demeanor with a high degree of discretion, tact, and interpersonal effectiveness.
- Proven ability to manage multiple priorities under tight deadlines in a fast-paced environment.
- Experience managing complex calendars and coordinating meeting logistics.
- High level of accuracy and attention to detail.
- Technologically proficient, with advanced knowledge of Microsoft Office (Word, Excel, PowerPoint for Mac OS X).
- Familiarity with formatting tables and experience using various software platforms is a plus.
- A collaborative mindset with a willingness to learn and contribute to team success.
Hiring Range:
$59-$69K
