Who We're Looking For:
EmpiRx Health is in unprecedented growth, and we're seeking a highly skilled and experienced Administrative Assistant. In this critical role, you will ensure efficient office operations by providing administrative support and managing front desk responsibilities. The ideal candidate will possess exceptional organizational abilities, excellent communication skills, and a proactive approach to problem-solving. This role requires the ability to multitask, prioritize tasks effectively, and handle various responsibilities simultaneously.

What You'll Do:
As an Administrative Assistant, your role will encompass a wide range of responsibilities; here are a few:

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage incoming calls, redirecting them appropriately or taking accurate messages.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean and organized reception area.
  • Calendar Management: assist with scheduling appointments, meetings, and conference rooms.
  • Coordinate travel arrangements and accommodations for staff members when necessary.
  • Assist in preparing reports, presentations, and correspondence.
  • Handle sensitive and confidential information with discretion.
  • Draft and proofread reports and letters.
  • Manage and maintain office supplies inventory, anticipating future needs and placing orders as required.
  • Support senior staff as needed.
  • Ordering lunch or breakfast for meetings when needed
  • Cover support for peer admins as needed.
  • Other duties as assigned


What You Need:

  • High school diploma or equivalent education required. College diploma preferred.
  • At least 5 years of related experience required.
  • Excellent organizational skills and attention to detail.
  • Ability to function well in a fast paced environment.
  • Proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Employ sound judgement and problem solving skills.
  • Experience scheduling and managing multiple calendars.
  • Experience booking travel and logistics.
  • Ability to multi-task and prioritize work to meet deadlines.
