Kako'o Services LLC is seeking a qualified Administrative Assistant to provide administrative and program support for Human Performance Optimization (HPO) services at Moody Air Force Base, Georgia.


The Administrative Assistant will support program leadership through data collection and analysis, report preparation, scheduling, correspondence, presentations, records management, and general office support. The position requires strong organizational skills, attention to detail, excellent written and verbal communication, and advanced proficiency with Microsoft Office applications.


Hours: Standard duty hours will be from 0600-1800, variable hours/ schedules will be established to best accommodate the population served, not to exceed eight (8) hours per day or forty (40) hours per week, Monday through Friday. The government will have input on duty hours required for the duty section.

Responsibilities
  • Provide day-to-day administrative and program support to the Human Performance Optimization team.
  • Collect and obtain data from multiple sources and compile information for review and interpretation.
  • Analyze data, identify trends, and prepare reports tracking short- and long-term program performance.
  • Maintain accurate program records, spreadsheets, databases, and digital files.
  • Support the development of presentations, briefing materials, charts, spreadsheets, and other program-related products.
  • Develop, distribute, and track surveys and critiques to obtain feedback from customers, users, conference attendees, and field offices.
  • Assist working groups with planning and preparation of projects, presentations, meetings, and annual conferences.
  • Provide technical assistance with computer applications, data collection, compilation, and presentation methods.
  • Compose, proofread, edit, and format correspondence, reports, presentations, and other documents.
  • Ensure written materials are grammatically correct, professionally formatted, factually accurate, and consistent with applicable procedures.
  • Track suspense dates, deadlines, and program requirements and identify potential scheduling conflicts.
  • Serve as a point of contact for program-related administrative matters and sensitive materials.
  • Answer the main office telephone line, direct calls, and take messages as appropriate.
  • Maintain accurate patient schedules and administrative logs.
  • Assist with scheduling, rescheduling, and cancellation of appointments.
  • Contact patients regarding appointments and provide general instructions as directed.
  • Support referral and specialty-care coordination within the Human Performance Optimization program.
  • Assist program leadership and designated personnel with administrative and data-management requirements.
  • Maintain confidentiality and appropriately handle sensitive information.
  • Complete required DoD, Air Force, installation, and position-specific training.
Qualifications
  • Education: High school diploma required.
  • Experience: Minimum of twelve (12) months of experience within the past twenty-four (24) months in a program assistance, administrative support, or program management support role.
  • Advanced knowledge and proficiency in Microsoft Word, Excel, and PowerPoint, including the ability to edit, develop, and reformat complex documents, presentations, graphics, tables, and spreadsheets.
  • Demonstrated ability to collect, compile, edit, analyze, and present data.
  • Experience developing, editing, and formatting lengthy or complex reports using multiple software applications.
  • Knowledge of developing, implementing, interpreting, and tracking surveys and critiques.
  • Ability to provide technical administrative support to working groups and assist with preparation of presentations and projects.
  • Strong written communication skills, including proper grammar, spelling, punctuation, capitalization, and formatting.
  • Ability to compose correspondence from draft through final version.
  • Strong organizational skills and the ability to manage multiple deadlines and suspense dates.
  • Excellent verbal communication, telephone etiquette, teamwork, and customer service skills.
  • Ability to operate standard office equipment and office automation systems.
  • Familiarity with general medical ethics and handling sensitive or confidential information.
  • Ability to work independently while maintaining effective communication with program leadership and team members.
  • Must successfully complete required DoD, Air Force, installation, and position-specific training.
