Stenner Wealth Partners+ (SWP+) is an in person/virtual Multi-Family Office/Outsourced CIO Consulting team of financial/wealth specialists with a boutique approach and global perspective. SWP+ serves Canadian and US investors/households with generally a minimum of 10M+ in investable assets (or 25M+ net worth). As a CG Wealth Management team, SWP+ is a highly exclusive practice team with one of Canada’s largest independent wealth management firms. Client range of net worths: between $25M and $3B+. They strategically limit new client engagements, onboarding a select number of new key relationships annually to ensure a highly personalized and focused approach. SWP+ is also a member of Canadian Family Offices.

Responsibilities

  • Provide day-to-day administrative support to the Lead Investment Advisor, Thane Stenner and the SWP+ team.
  • Manage complex calendars, schedule internal and client meetings, coordinate virtual meetings, arrange boardrooms and meeting logistics for in-person meetings, and proactively resolve scheduling conflicts and competing priorities.
  • Coordinate business travel, conferences, reservations, team events, client events, and in-office meeting logistics.
  • Prepare, format, and organize correspondence, presentations, reports, spreadsheets, meeting materials, and other business documents.
  • Monitor team phone lines and voicemail, respond to routine inquiries, and direct clients, prospects, and external contacts to the appropriate team member.
  • Maintain accurate electronic records, contact information, databases, document folders, and confidential files in accordance with firm procedures.
  • Process expense reports, maintain expense records, reconcile receipts, and assist with basic tracking and budgeting tasks.
  • Track and manage annual marketing expenses, budgets, and vendor invoices to ensure accurate reporting and timely payment.
  • Help maintain team workflows, task lists, recurring reminders, and status updates so deadlines and service commitments are followed through.
  • Coordinate with internal departments, service teams, vendors, and other professional contacts to help resolve administrative requests.
  • Provide basic technology and meeting support, including assistance with video conferencing, document formatting, printers, and standard office devices.
  • Identify opportunities to improve administrative processes, templates, filing practices, and team efficiency.
  • Assist with special projects and provide backup administrative coverage as required.

 


Skills & Qualifications

  • Minimum three years of administrative, executive assistant, client service, or office coordination experience; experience in wealth management, financial services, legal, accounting, or another professional services environment is an asset.
  • Post-secondary education in business administration, office administration, finance, or a related field is preferred; an equivalent combination of education and experience will be considered.
  • Excellent written and verbal communication skills, with strong proofreading, grammar, and document-formatting abilities.
  • Exceptional organization, prioritization, and follow-through, with the ability to manage multiple deadlines and changing priorities in a fast-paced environment.
  • Strong client-service and interpersonal skills, with a professional, warm, and solutions-focused approach.
  • Sound judgment, discretion, integrity, and the ability to handle confidential client, employee, and business information appropriately.
  • High attention to detail and accuracy when working with documents, data, schedules, and follow-up items.
  • Ability to work effectively both independently and collaboratively in a team environment.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience with Adobe Acrobat, Docusign, Zoom, and customer relationship management systems such as Salesforce and Maximizer is preferred.
  • Comfort learning new software and using technology to improve organization, communication, and workflow efficiency.
  • Positive, adaptable, dependable, and committed to continuous learning and high-quality client service.
  • Fluency in English is required; proficiency in another language is an asset.
  • Legally entitled to work in Canada.
