Role Snapshot 

As an Administrative Assistant, you will often be one of the first faces people see and voices they hear at QLI. You’ll help create a warm, professional, and welcoming experience for clients, families, visitors, vendors, and community partners while also providing important administrative support to Team QLI.
 

This is a role for someone who genuinely enjoys people, takes pride in providing exceptional customer service, and can confidently balance a busy front desk with a variety of administrative responsibilities. You’ll answer phones, welcome and check in visitors, work with vendors, coordinate day-to-day details, and jump in wherever your skills can help the team.
 

Key Responsibilities 

  • Welcome visitors, families, vendors, and community partners to QLI and provide a positive first impression. 
  • Manage visitor check-in processes and help guests navigate the QLI campus. 
  • Answer and route incoming phone calls, respond to general questions, and connect callers with the appropriate team member. 
  • Provide exceptional customer service in person, over the phone, and through email communication. 
  • Communicate and coordinate with vendors, including deliveries, service visits, scheduling, and general inquiries. 
  • Provide day-to-day administrative and organizational support to QLI team members and departments. 
  • Coordinate schedules, meetings, appointments, room reservations, and other logistics as needed. 
  • Prepare correspondence, documents, reports, presentations, and other materials. 
  • Assist with mail, deliveries, office supplies, and other front office needs. 
  • Maintain organized files, records, and administrative systems. 
  • Assist with special projects, events, and organizational initiatives. 
  • Anticipate needs, problem-solve, and jump in to support Team QLI wherever needed.

Required Qualifications 

  • Experience with Microsoft Office and general office technology. 
  • Customer service, administrative, receptionist, office, or hospitality experience. 
  • Ability to learn new systems and processes quickly. 
  • Certified Nursing Assistant (C.N.A.) or dining assistant in the State of Nebraska (required). QLI will provide paid training for the right candidate if not certified. 
  • Must have a valid driver's license 

Position Details 

Employment Status: Full time 

Schedule: This role is Monday – Saturday day time hours, 40 hours a week, with occasional weekends and holidays due to organizational needs as a 24/7 healthcare facility. For example, one winter holiday and one summer holiday shift is required for this team. Specific schedule to be discussed during the interview process.
Physical Requirements 

  • Ability to sit for extended periods of time with proper posture to avoid discomfort. 
  • Good hand-eye coordination and fine motor skills to accurately maneuver a computer and processes.   
  • Ability to travel short distances to access office equipment or interact with other team members, clients, or family members.   
  • Ability to lift up to 30 pounds from floor up to shoulder height and 50 pounds from floor up to waist height.  
  • Ability to push and pull at least 60 pounds on level surfaces. 
  • Ability to squat or kneel to complete tasks at floor-level with good body mechanics. 
  • Ability to stand or move around for extended periods of time. 
  • Ability to complete basic household management tasks including, but not limited to, household cleaning and food preparation. 
  • Ability to don and doff Personal Protective Equipment (PPE) according to established protocols and potentially for extended periods of time. This includes, but is not limited to, using proper hygiene techniques and the use of gloves, gowns, masks, and eye protection.
