Job Summary:
The Administrative Assistant will handle day-to-day operations with a focus on efficiency and time management. (S)He will be responsible for administrative processes including: managing incoming and outgoing daily mail, printing checks, filing documentation as required, maintaining daily spreadsheets, as well as other duties as assigned.
Responsibilities:
- Printing checks, matching correct invoices to verify accuracy
- Office printing for payments, scanning to correct designation
- Maintaining multiple spreadsheets that are updated in a daily manner
- Cross checking all data coming in from overseas
- Matching manifest numbers to contractor invoices
- Mailing out payments, preparing labels, etc.
- Perform general clerical duties as assigned, including: answering and directing phone calls, filing, data entry and billing
- Keep stock of office supply cabinet and order as needed
Requirements:
- High school diploma or equivalent
- Experience working in logistics, distribution or warehousing environments
- Proficiency in MS Word, MS Excel and MS Outlook
- 3 years of administrative experience
- Ability to manage competing priorities simultaneously
- Great communication skills
- Cross-functional collaboration
- Demonstrated reliability and consistent attendance
- Highly organized
