Job Description
The Administrative Assistant provides comprehensive administrative and operational support to leaders. This role is responsible for driving business efficiency through proactive calendar management, meeting coordination, Salesforce administration, travel and expense support, and stakeholder engagement. The individual serves as a trusted partner to leaders, enabling them to maximize business impact, stakeholder engagement, and strategic priorities.Key Responsibilities
Business Support & Calendar Management
- Manage complex calendars for assigned leaders, ensuring optimal time management and prioritization.
- Schedule business meetings, coaching sessions, team huddles, business reviews, and other strategic engagements.
- Coordinate meeting logistics, confirmations, follow-ups, and attendee communications.
- Proactively identify scheduling opportunities to help leaders achieve business goals and priorities.
- Maintain and distribute activity trackers and meeting schedules.
Salesforce & Administrative Excellence
- Ensure accurate and timely updates of meetings, activities, coaching sessions, and business interactions in Salesforce.
- Maintain data integrity and support reporting requirements.
- Track action items and follow through on commitments from meetings and business reviews.
- Create and maintain process documentation, trackers, and administrative resources.
- Prepare agendas, presentations, reports, and meeting materials as needed.
Travel & Expense Management
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
- Prepare and submit expense reports in accordance with company policies.
- Review expenses for accuracy and policy compliance.
- Manage logistics for offsite meetings, conferences, leadership events, and business engagements.
Stakeholder Engagement & Collaboration
- Build strong working relationships with leaders, business partners, stakeholders, and administrative teams.
- Communicate proactively regarding priorities, deadlines, and scheduling needs.
- Support organizational initiatives and special projects as assigned.
- Provide backup support and collaborate across the administrative support team to ensure seamless coverage.
Process Improvement & Professional Development
- Identify opportunities to improve administrative processes and operational efficiency.
- Leverage technology and AI-enabled tools to enhance productivity.
- Participate in ongoing learning and development programs.
- Share best practices and contribute to team success.

Required Qualifications
- Must have 2-7 years of relevant experience.
- Strong administrative support experience, preferably supporting senior leaders.
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Outlook, Teams, Excel, PowerPoint, and Word.
- Attention to detail with strong follow-through and accountability.
In-Office Collaboration
We are a client-centric, relationship-based business. Working together, in-person, is foundational to how we achieve results. By fostering a culture of face-to-face collaboration, idea sharing, productivity and personal connection, we deliver for our stakeholders — clients, advisors, employees and shareholders. Our employees work in the office at least three (3) days per week, with flexibility to work from home two (2) days per week. Some roles may require additional in-office time or different in-office expectations, and specific requirements will be discussed during the hiring process.
