The Administrative Assistant provides administrative and clerical support to ensure the efficient operation of the office or department. This position is responsible for coordinating schedules, managing correspondence, maintaining records, preparing documents, assisting customers and employees, and supporting daily business operations.

The ideal candidate is organized, dependable, professional, detail-oriented, and able to manage multiple priorities while maintaining accuracy and confidentiality.

Key Responsibilities
Provide general administrative and clerical support to managers, supervisors, and staff.
Answer and direct telephone calls, emails, and other correspondence.
Greet visitors and provide professional assistance as needed.
Schedule and coordinate meetings, appointments, and calendars.
Prepare, format, proofread, and distribute letters, reports, presentations, forms, and other documents.
Maintain accurate electronic and physical filing systems.
Enter, update, and retrieve information from databases, spreadsheets, and company systems.
Prepare meeting agendas, take notes, and distribute meeting materials when required.
Assist with travel arrangements, reservations, and expense reports.
Order and maintain office supplies and equipment.
Process invoices, purchase orders, expense documentation, and other administrative paperwork.
Assist with customer, vendor, employee, and departmental inquiries.
Maintain confidential employee, customer, financial, and company information.
Coordinate communication between departments and follow up on outstanding tasks.
Assist with onboarding paperwork and administrative support for new employees.
Prepare basic reports, spreadsheets, and presentations.
Scan, copy, print, organize, and distribute documents.
Monitor deadlines and assist with completing administrative projects on time.
Support special projects and other duties as assigned by management.
Required Qualifications
High school diploma or equivalent required; associate degree preferred.
Previous administrative, clerical, office, customer service, or related experience preferred.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Strong attention to detail and accuracy.
Proficiency with Microsoft Office, Google Workspace, email, and internet applications.
Ability to handle multiple tasks and prioritize effectively.
Professional telephone and interpersonal skills.

Preferred Qualifications
1–3 years of administrative or office experience.
Experience with Microsoft Word, Excel, PowerPoint, and Outlook.

Experience preparing reports, spreadsheets, presentations, and correspondence.
Bilingual or multilingual skills may be preferred depending on business needs.
