The Enterprise Technology Services (ETS) function combines Enterprise Architecture and key data capabilities to establish best-in-class core standards, platforms and practices that guide and enable more efficient and standardized technology delivery.

Your Role
The Administrative Assistant will serve as the primary support for the Managing Director, Head of ETS, with support responsibilities across the ETS leadership team, helping manage priorities, communications, leadership meetings, and operational activities for a global technology organization.


The candidate will demonstrate an eagerness to learn, possess the skills and desire
to ensure accuracy, and be a self-paced problem solver who is always looking for innovative
ways to conduct business and serve our clients.


This role is best suited for a highly proactive individual who enjoys working in a fast-paced environment, managing multiple priorities, and anticipating executive needs before they arise.


You Will Be Responsible For:

  • Proactively manage complex executive calendars, balancing competing priorities and ensuring leadership focus on strategic objectives.
  • Coordinate high-profile leadership meetings, offsites, town halls, and executive forums, ensuring seamless execution and stakeholder engagement.
  • Maintain structure and schedule of prep/debrief meetings for key senior leadership meetings and committees.
  • Coordinate complex domestic and international travel while maintaining visibility into executive schedules and commitments.
  • Manage expense report and invoice review and approval
  • Coordinate internal and external client meetings including meals and in-office logistics coordination
  • Act as a trusted liaison between senior leaders, business partners, and external stakeholders while maintaining the highest level of professionalism and confidentiality.

The Experience You Bring:

  • 5+ years of experience supporting senior leaders in an administrative assistant, business support, or related role, preferably within a large, complex organization.
  • Exceptional organizational and execution skills with the ability to manage multiple priorities, maintain attention to detail, and meet deadlines in a fast-paced environment.
  • Strong communication, relationship-building, and interpersonal skills with demonstrated executive presence, professionalism, discretion, and sound judgment.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and document management tools, with the ability to create polished executive-level materials.
  • Experience coordinating executive meetings, travel, events, and administrative operations, with the ability to quickly learn new systems and technologies. Experience supporting Managing Director or C-suite executives is preferred.
  • Preferred Qualifications
      • Bachelor's degree preferred.
      • Experience supporting global teams and working across multiple regions and time zones.
