Job Purpose:

The Administrative Assistant primary responsibility is to facilitate the communications functions of the business office and provide clerical support.

Duties & Responsibilities:

  • Promotes the philosophy, mission and administrative policies of the Hospice by presenting a positive image.
  • Facilitates the communications system which may include mail distribution, phone system, memos, answers incoming calls and/or emails, documents, and disseminates appropriate messages.
  • Provides clerical support which may include preparation of admission, orientation, and new hire packets; monitoring and ordering office supplies and forms; computer support and data entry; special projects, filing, and copying.
  • Competently handle multi-line phone systems. Demonstrates understanding of system features.
  • Uses effective customer service skills when directing calls and assisting others.
  • Promotes effective communication with patients, families, team members, and other healthcare professionals, and maintains confidentiality.
  • Additional duties as assigned.

Skills and Qualifications:

  • High school diploma or equivalent required. College preferred.
  • One year general office experience.
  • Excellent computer skills required.
  • Excellent interpersonal and organizational skills.
  • Knowledge of medical terminology preferred.
  • Excellent phone skills.
  • Current driver’s license and valid auto liability insurance.
  • Reliable transportation.

Working Conditions:

  • Works in a routine office environment. Noise level may be moderately high.
  • The ability to work a flexible schedule and extended hours.
  • Ability to travel locally.
  • May experience exposure to unpleasant weather conditions.
  • Possible exposure to toxic materials, toner, etc.

Physical & Mental Requirements:

  • Requires prolonged sitting and standing.
  • The occasional need to lift, pull, carry, and push items weighing up to 50 pounds.
  • Requires the frequent need to stoop, kneel, and reach while accessing files.
  • Requires working under some stressful conditions to meet deadlines and patient needs.
  • Requires hand-eye coordination and manual dexterity.
  • Requires excellent problem solving skills.
