Navolio & Tallman LLP is seeking a highly organized and professional Part-Time Administrative Assistant to support our New York office. We are looking for someone who takes pride in creating a welcoming and efficient office environment while ensuring day-to-day operations run smoothly. This position is ideal for someone who enjoys wearing multiple hats, staying organized, and serving as the first point of contact for visitors, clients, and team members.

Schedule 

  • Part-Time 
  • Monday through Thursday 
  • 8 AM – 12:00 PM or 12:00 PM – 4:00 PM 
  • In-office position in our New York office 

Work Environment

Position Responsibilities 

  • Serve as receptionist for the New York office 
  • Greet clients and visitors, ensuring a welcoming and professional experience 
  • Answer and direct incoming phone calls and emails 
  • Manage conference room scheduling and meeting preparations 
  • Maintain office organization, appearance, and common areas 
  • Coordinate office supplies, equipment, and vendor relationships 
  • Receive, sort, and distribute incoming mail and packages 
  • Assist with document preparation, scanning, filing, and recordkeeping 
  • Coordinate staff lunches, office events, and employee celebrations as needed 
  • Support onboarding logistics for new hires, including workspace preparation and office orientation 
  • Provide general administrative support to partners and team members 
  • Help ensure smooth day-to-day office operations 
  • Demonstrate a commitment to continuous learning, adaptability, and flexibility by embracing new responsibilities, processes, and changing business needs. 

Requirements


  • 2+ years of administrative, office coordinator, receptionist, or executive support experience preferred 
  • Professional demeanor and excellent customer service skills 
  • Strong organizational and time management abilities 
  • Excellent verbal and written communication skills 
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams) 
  • Experience managing competing priorities and deadlines 
  • Ability to work independently and proactively identify office needs 
  • Reliable, detail-oriented, and committed to providing exceptional support 

Skills Required
