Job Description:
Parsons is looking for an amazingly talented Administrative Assistant to join our team! In this role you will get to provide high-level administrative and operational support to a dynamic business unit, ensuring smooth day-to-day operations and efficient coordination across teams.
What You'll Be Doing:
Perform a variety of routine and non-routine administrative, clerical, data collection, and report preparation tasks in accordance with established procedures
Gather statistics and general data, review and compile information into established reports for internal and external use
Develop new reports or revise existing reports in spreadsheet, graphical, or narrative formats as directed
Verify data accuracy, including matching supplier invoices against file copies and supporting documentation
Review and verify employee time reports for accuracy of hours worked and Job/WBS charges, following up on corrections as needed
Maintain employee directory information, resumes, and paid time off tracking schedules
Prepare and distribute correspondence and reports not requiring supervisor review
Answer and direct telephone calls, take and relay messages, and manage incoming and outgoing mail
Maintain equipment records and service logs, and initiate service requests as necessary
Support overhead budget data collection and prepare recurring reports and preliminary reconciliations
Coordinate physical space requirements, including requests for PCs, telephones, and directory updates
Assist in tracking performance appraisal timelines and preparing documentation related to personnel actions
Prepare occupancy and staffing reports by project, as directed
Provide general administrative support and perform other responsibilities associated with the position as appropriate
