Job Overview

The Administrative Assistant to the Vice President of Operations plays a critical role in supporting the VPO in the day-to-day management and operations of DIU’s administrative functions. This position requires a high degree of professionalism, organization, and attention to detail, as well as the ability to handle confidential information and communicate effectively with various stakeholders across campus and beyond.

Responsibilities ii

  • Executive Support: Provide high-level administrative support to the VPO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Serve as a point of contact for internal and external communications, representing the VPO’s office with professionalism. Draft, proofread, and edit correspondence, reports, and presentations.
  • Meeting Coordination: Organize and prepare agendas, take minutes, and follow up on action items for meetings with university leadership, staff, and external partners.
  • Project Management: Assist in the planning and execution of key projects within the Operations Department. Track deadlines, deliverables, and progress while supporting operational initiatives.
  • Document Management: Maintain and organize electronic and physical files, ensuring that documents are stored properly and accessible when needed. Ensure compliance with DIU’s policies related to document retention.
  • Event Coordination: Plan and coordinate events, workshops, and conferences on behalf of the VPO, ensuring all logistics are managed effectively.
  • Budget Support: Assist in monitoring budgets, tracking expenses, and preparing financial reports as needed for the VPO.
  • Collaboration: Work closely with other departments, staff, and faculty to support the overall mission of the University and the VPO’s operational goals.
  • Additional Tasks: Perform other related duties as assigned by the VPO to ensure efficient departmental functioning.

 

Qualifications

  • Bachelor’s degree preferred.

 

Hours

Part-time. During the hours of 8 am to 5 pm, Monday through Friday.

 

Physical Requirements

Ability to sit for extended periods and occasionally lift up to 15 pounds.

A seconded member is a paid employee from another institution who is loaned to DIU through a partnership agreement.
