Primary Responsibilities
- Greet and welcome visitors, clients and staff in a professional and friendly manner.
- Answer and direct incoming phone calls promptly and courteously.
- Handle incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate meetings, appointments, and conference room usage.
- Maintain office supplies inventory and place orders when necessary.
- Assist with general administrative duties such as data entry, filing, copying, and scanning.
- Work closely with building management to ensure timely resolution to office related maintenance issues.
- Maintain a tidy and organized reception area reflective of a professional office environment.
- Handle office-wide announcements, as needed.
- Work closely with the local Office Leader to hit office goals, plan events (i.e., Summer and Holiday outings), and track and manage the office budget for the year.
- Monitor and maintain office security by following procedures and controlling access.
- Provide administrative support to various departments as needed.
- Collaborate with the administrative team to ensure business needs are being met on a local level.
- Handle inquiries and resolve issues or redirect them to the appropriate staff member.
- Coordinate with IT for front desk or technical issues.
- Assist with arranging travel for business needs.
- Excellent verbal and written communication skills.
- Strong organizational skills and multitasking abilities.
- Perform other duties as assigned.
Position Requirements
- High school diploma or General Education Degree (GED) is required.
- 1-2 years of relevant experience in an administrative role is required.
- Notary in the State of business is preferred.
- Computer skills necessary to enter daily timesheet data and use Microsoft Outlook for email correspondence.
- Working knowledge of Microsoft Office Suite, Adobe PDF, and Bluebeam or similar software.

Skills Required
- High school diploma or GED

- Notary in the state of business
