NeuroPace is seeking a proactive, highly organized Administrative Assistant to support the VP of Sales and VP of Marketing. This role requires exceptional communication skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment. The ideal candidate will have experience in the life sciences and/or medical device space, and be familiar with and interested in Sales & Marketing operations.
Key Responsibilities
- Scheduling & Meetings: Provide sophisticated calendar management for the VP of Sales and VP of Marketing to optimize time management. Proactively resolve conflicting needs and requests, use judgement and knowledge of department priorities to make informed recommendations to ensure smooth day-to-day engagements. Coordinate department & leadership team meetings and prepare agendas/logistics.
- Travel Management: Handle complex travel arrangements, for multiple executives and team members, including organizing weekly domestic travel (air and ground transportation), hotels, and itineraries. Review options to ensure choices are cost-effective & within company policy and budget.
- Financial & Administrative Support: Reconcile expenses weekly for VP of Sales and VP of Marketing, manage Sales AMEX statements monthly, track spend against budget at a high-level, and prepare correspondence, reports, and presentations.
- Event & Meeting Coordination: Support in-person & virtual sales and marketing group meetings including Field Training, National Sales Meetings, Mid-Year Meetings, Field Leadership Meetings, QBRs, and commercial calls. Handle hotel contracts, catering, local team activities, and logistics for special events.
- Onboarding & (Ongoing) Training: Coordinate new hire training (quarterly), order materials, handle logistics, printing and shipping of materials, and facilitate new hire welcome items such as scrubs and backpacks. Work with Commercial Excellence team to coordinate and support ongoing training and development activities of Sales & Marketing teams.
- Project & Logistical Oversight: Collaborate on strategic initiatives, oversee board meeting logistics, and manage slide deck content.
Qualifications
- AA or Bachelor's Degree preferred with 3 to 5 years of administrative assistant experience. Life sciences, Pharma or Medical Device industry experience a plus.
- Proven ability to handle sensitive information with discretion. Excellent verbal and written communication skills.
- Proficient in Microsoft Office and adaptable to new technologies.
- Self-starter with strong time management and multitasking skills.
- Ability to travel (within the U.S.) at least quarterly.
- This role involves independent decision-making, adaptability, and willingness to handle additional tasks as needed to ensure the seamless operation of executive functions.
$85K-$100K base salary- Compensation will be determined based on several factors including but not limited to skill set, years of experience and geographic location.
