We are looking for a highly organized and proactive Administrative Assistant to join our team in São Paulo. In this role, you will provide essential administrative and operational support to ensure the smooth running of daily activities.
- This position is 100% on-site in São Paulo (Berrini), 5 days per week.
We are looking for someone who :
- Previous experience in administrative or front desk roles;
- Intermediate to advanced English;
- Strong verbal and written communication skills;
- Organization, proactivity, and attention to detail;
- Proficiency with tools such as Microsoft Word, Excel, Outlook, and Slack;
- Currently pursuing a degree in Administration, Executive Assistance, or related fields.
What you'll be doing:
- Greet national and international visitors with courtesy and professionalism;
- Keep meeting rooms organized and properly stocked;
- Manage employee and visitor access control;
- Receive and organize mail, deliveries, and packages;
- Monitor and organize inventory of cleaning, pantry, and office supplies;
- Prepare reports on missing items and send purchase lists to the manager;
- Ensure overall office organization, including meeting rooms and common areas, reporting any cleaning, maintenance, or restocking needs;
- Accompany service providers for minor repairs;
- Assist with small internal events such as birthday celebrations, happy hours, and other office activities (e.g., coffee breaks);
- Manage meeting room reservations and usage;
- Maintain control spreadsheets and reports.
